Event & Partnerships Coordinator

Overview

We are seeking a proactive, organized, and outgoing Event & Partnerships Coordinator to secure high-quality event bookings and business opportunities for our coffee trucks. This role focuses on identifying potential events, building relationships, and ensuring out truck is positioned at venues that maximize visibility and revenue.

Key Responsibilities

Event Sourcing & Outreach

• Research and identify local events, festivals, markets, corporate gatherings, and private functions suitable for our coffee trucks
• Maintain an active pipeline of upcoming event opportunities throughout the year. 
• Conduct outreach to event organizers, venue managers, businesses, and community groups.

Partnership Development

• Build and maintain relationships with corporate offices, schools, community organizations, wedding planners, and other potential partners.
• Pitch our Travelin’ Tom’s Coffee truck as a value-add for employee events, appreciation days, product launches, and more. 

Booking Management

• Secure confirmed event dates on the company calendar
• Gather and communicate event details (load-in times, parking, permits, utilities, expected foot traffic, onsite contact, etc.) to the operations team.
• Track booking performance and provide monthly reports.

Marketing & Promotion Support

• Collaborate with the marketing team to promote upcoming public events on social media.
• Suggest new event categories or markets based on research and trends. 

Qualifications

• Strong communication and networking skills.
• Previous experience in event planning, sales, outreach, or hospitality is a plus.
• Comfortable with cold outreach and building new relationships.
• Organized, self-motivated, able to work independently. 
• Familiarity with local events, markets, and community organizations is highly desirable.
• Comfortable with driving larger vehicle, three years or more driving history with clean driving record required.

Work Environment & Compensation

• Flexible hours; some remote negotiable; some onsite events.
• Compensation options: hourly, commission-based per secured events, or customizable hybrid structure.
