Student Worker - Intellectual Property Management System (IPMS) & Data Support

As an integral member of the Technology Development & Industry Engagement (TDIE) Operations and Digital Transformation group, the Wellspring® Evolve Intellectual Property Management Solution & Data Support Student Worker will assist with preparing, organizing, and validating digital records related to invention disclosures, intellectual property/patent filings, agreements, royalty payments and annuities, and compliance documents. 

 

This role supports the team’s data preparation for the Wellspring® Evolve Intellectual Property Management System (IPMS) implementation — the institution’s new Salesforce-based platform for managing the end-to-end IP lifecycle from invention to commercialization. 

 

The ideal candidate will possess foundational knowledge of technology transfer and demonstrate technical aptitude in data systems, particularly in software development or Salesforce.com environments. 

 

Job Responsibilities 

 

Under the supervision of the TDIE leadership and Evolve implementation team, the student worker will: 

  • Support data preparation of legacy technology transfer records, including invention disclosures, patent applications, and executed agreements (e.g., MTAs, DTAs, NDAs, CRAs, license and option agreements). 
  • Assist with document collection and validation  
  • Review and organize metadata for submission into the new Evolve IPMS. 
  • Participate in system and user acceptance testing for the Evolve rollout once data migration is complete. 
  • Assist with documentation of process flows and identify gaps in current workflows. 
  • Contribute to the creation of user guides, data dictionaries, and configuration documentation for institutional records. 
  • (Optional depending on background) Contribute to oversight of configuration tasks in Salesforce or related platforms. 

 

Qualifications 

 

Preferred Education & Background 

  • Current undergraduate or graduate student in Information Systems, Computer Science, Business, or a related field with an interest in technology transfer, intellectual property management, data systems, or software development. 
  • Familiarity with technology transfer concepts such as invention disclosures, licensing, Gov’t compliance reporting (e.g., iEdison), and commercialization. 
  • Coursework or experience in computer science, Salesforce.com administration/development, or data analytics preferred. 

 

Skills 

  • Strong attention to detail and organizational skills. 
  • Ability to manage and analyze structured data. 
  • Proficient with Microsoft Excel and document management tools. 
  • Effective communication and collaboration skills. 
  • Work independently. 
  • Eagerness to learn IP workflows and emerging enterprise technologies. 

 

Job Details 

  • Remote 
  • Hourly paid position with flexible hours up to 20 per week 
  • One scheduled weekly meeting with supervisor; additional collaboration sessions as needed
