Litigation Paralegal/ Secretary

We are seeking a Litigation Paralegal will play a crucial role in supporting attorney and staff through all stages of case development and litigation. This role combines traditional paralegal responsibilities with administrative and receptionist duties, making it ideal for someone who is organized, proactive, and eager to take ownership of their work.

Responsibilities

Litigation Support

Draft basic legal documents, including motion shells, discovery requests, discovery responses, subpoenas, and deposition notices.

Assist with preparation of trial binders, exhibit lists, and witness files.

Conduct preliminary legal and factual research as needed.

Review and summarize medical records, employment records, and discovery responses.

Case & Document Management

Maintain organized electronic and physical case files.

Manage document production and track responsive documents.

Ensure timely and accurate uploading, labeling, and storage of all case materials.

Calendaring & Scheduling

Maintain attorney calendars, including hearings, deadlines, depositions, mediations, and client meetings.

Calculate deadlines in accordance with the CCP and local rules.

Coordinate scheduling with courts, opposing counsel, experts, and clients.

Administrative & Reception Responsibilities

Answer incoming calls and greet clients with professionalism and warmth.

Handle intake calls and route messages appropriately.

Assist with general office operations such as scanning, filing, and correspondence.

 

Qualifications

Required

Bachelor’s degree OR a minimum of four (4) years of law firm experience.

Strong written and verbal communication skills.

High attention to detail and strong organizational abilities.

Demonstrated critical thinking and problem-solving skills.

Ability to take ownership of projects and follow through independently.

Ability to work collaboratively in a small, positive, team-oriented environment.

Professionalism, emotional intelligence, and kindness.

Preferred

Experience in civil litigation, preferably personal injury or employment litigation.

Knowledge of California court procedures and filing rules.

Familiarity with calendaring rules (state and federal).

Experience using case management software, adobe,  and generally technology literate.
