Job Overview

This position serves as the first point of contact for clients, taking primary responsibility for client intake and ensuring that all client information is communicated to attorneys accurately and professionally. Beyond reception duties, the Legal Secretary will manage scheduling, support daily office operations and assist with the use of legal case management systems.

The ideal candidate will demonstrate exceptional client service skills, strong communication abilities, and a high level of professionalism, contributing to enhanced client experience and the overall success of the legal team.

Key Responsibilities

1. Reception & Front Office

  • Greet and assist clients and visitors; support clients in completing intake forms.
  • Handle phone calls and manage online inquiries.
  • Maintain a professional and welcoming office environment for all clients.

2. Client Intake & Communication

  • Serve as the primary point of contact for new and existing clients.
  • Gather essential client information and case details via phone or online channels and relay them accurately to attorneys.
  • Provide a professional client experience through clear and courteous communication.

3. Scheduling & Calendar Coordination

  • Manage client consultation appointments and maintain attorney schedules.
  • Prepare and update consultation calendars and related reports.

4. Case Intake & System Support

  • Enter, update, and organize client information, consultation notes, and case records in legal case management systems (e.g., Clio).
  • Assist with administrative tasks such as preparing daily logs and summary reports.
  • Maintain accurate client data.

5. Office Administration

  • Handle mail processing, document preparation, filing, scanning, copying, and general administrative tasks.
  • Maintain an organized and professional office environment.
     

Required Qualifications

  • Associate’s degree or higher.
  • At least 1 year of customer service or client-facing work experience.
     

Preferred Qualifications

  • Degree in law, secretarial studies, communications, or a related field.
  • Excellent communication and interpersonal skills with a strong client service mindset.
  • Experience with client intake and/or legal case management systems (Clio preferred).
  • Prior work or internship experience in a law firm or legal environment.
  • Strong writing and document-preparation skills.
  • Multilingual ability is highly preferred.

Salary information: $36,000~
