Are you the type of person who takes charge, stays two steps ahead, and keeps a busy environment running like clockwork? Regency Memory Care Club is seeking an exceptionally organized, tech‑savvy, confident Office Manager who can own our front-office operations and map out efficient daily transportation routes for our members.

Summary of Role

The Office Manager & Transportation Coordinator serves as the operational center of the club—supporting families, members, drivers, and staff with professionalism, accuracy, and strong decision-making.

Key Responsibilities

• Lead all front-office operations and provide exceptional customer service for dementia patient caregivers

• Manage multi-line phone system; triage calls and relay messages accurately

• Greet and assist members, families, visitors, and staff

• Oversee secured entry areas with a consistent front-desk presence

• Create, update, and optimize daily transportation routes

• Provide clear instructions to drivers and monitor policy adherence

• Communicate transportation changes to families and staff

• Maintain accurate attendance and documentation logs

• Prepare reports, correspondence, and facility documents

• Support management with data entry and administrative projects

• Handle scanning, typing, mailings, verification, and file maintenance

• Ensure lobby/front desk cleanliness and safety protocol compliance

• Assist with compiling program materials and handouts

• Perform additional duties as assigned

• Flexible, calm under pressure, and reliable

 

Qualifications

• High school diploma or equivalent (Preferred)

• Office management, dispatch, scheduling, or routing experience strongly preferred

• Experience in healthcare, senior care, or memory care is a plus

 

Schedule & Benefits

Full-Time: Monday–Friday, 8:30 AM – 4:30 PM
