Personal Assistant

Job Title: Personal Assistant

Position Overview

We are seeking a reliable, detail-oriented, and highly organized Personal Assistant to provide comprehensive support to a busy executive and their family. This role includes managing daily personal tasks, coordinating children’s school-related activities, assisting with personal payments and errands, and supporting basic company administrative work. The ideal candidate must maintain confidentiality, demonstrate strong communication skills, and be comfortable multitasking in a dynamic environment.

Key Responsibilities

1. Personal & Family Support

  • Assist with daily household needs and personal tasks.
  • Pick up children from school occasionally or regularly (as assigned).
  • Coordinate children’s school-related activities, including:
    • School schedules, calendars, and event reminders
    • Teacher communication and parent–school correspondence
    • Homework reminders and activity organization
  • Manage family appointments (medical, extracurricular activities, school meetings).
  • Run personal errands such as grocery shopping, returns, deliveries, and scheduling home services.

2. Financial & Administrative Support

  • Handle personal payments, including bills, reimbursements, and expense tracking.
  • Maintain organized records of personal receipts, invoices, and payment schedules.
  • Assist with travel arrangements (flight booking, hotel arrangements, itineraries).
  • Manage personal document filing (insurance, subscriptions, memberships, renewals).

3. Company Administrative Support

  • Assist with light office and administrative duties for the company, including:
    • Scheduling meetings and maintaining calendars
    • Preparing basic reports, documents, and correspondence
    • Data entry and file organization
    • Coordinating communication between internal teams when needed
  • Provide general operational support as assigned by the executive.

Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Valid driver’s license with a clean driving record (required for school pickups).
  • Excellent communication skills in English; bilingual ability is a plus.
  • Strong organizational skills with the ability to manage multiple priorities.
  • High level of discretion, professionalism, and confidentiality.
  • Proficiency in basic office software (Microsoft Office, Google Workspace).

  • Ability to work flexible hours depending on family and business needs.
  • Comfortable working around children and maintaining a family-friendly attitude.
  • Ability to lift and carry items (up to 20 lbs) when handling errands or household tasks.
