Summer Student Business Manager
Job Summary
The Capstone Conference Center at the University of South Carolina is a division of University Housing department and hosts thousands of guests each year through Summer Conferences and Camps and Special Events. The Capstone Conference Center’s primary focus for summer conferences and camps is to provide housing and meeting services to official University departments and their guests within the University of South Carolina system.
Under the supervision of the Conference Coordinator for Conferences and Events the Business Manager is responsible for servicing the business and operational needs of conference groups and their participants. Responsibilities include preparing data in computer, submitting reports, organizing packets for check-ins, billing and follow-up. Will work closely with Conference Managers. Duties also include working conference center hours to include reception and answering phones.
Applicant Requirements
· be a rising senior or Graduate Student for the academic year 2017-2018
· be a student at the University of South Carolina with a minimal Grade Point Average of 2.5.
· supervisory experience preferred
· be available the day after Spring Graduation
· interest in business and/or accounting
· have strong customer service skills
· strong writing and verbal communication skills
· proven experience in managing dead-line driven initiatives
· ability to multitask and strong attention to detail
· ability to work independently and willingness to take initiative
· flexible schedules to include evening and weekend work
· demonstrated proficiency using Word and Excel; PowerPoint and data base usage preferred
· practicum and internship is allowed. No summer classes should be taken unless taking an online course.
Time Commitment
Spring: February 5-22 Assist in Conference Assistant Interviews
10 two hour Manager training sessions throughout the semester
Summer: Approximately 40 hours per week
May 9 – 15 Manager Training
May 16 – May 25 Conference Assistant Training/Building Preparation
May 27 – August 9 Conference Season

Spring: $9.00 per hour

Job Description
Spring Semester
· Sets up all conferences in Conference Programmer Database
· Makes files for all Summer Conferences
· Assists in ordering all material for summer check-ins
· Assists Conference Coordinator in planning staff training
· Becomes familiar with conference season schedule to include familiarity with building, meeting clients, scheduling staff etc
· Coordinates with Conference Coordinator for staff retreat
· Assists in Conference Assistant Interviews
· Attends all Conference training activities and classes
Summer
· Work with all conference groups to include adult conferences, youth sports programs, youth academic programs, and adult programs
· Wear appropriate conference attire and nametag when on duty or in cafeterias.
· Create and maintain files for conferences and camps
· Creates and audits packets for check-in and check-out
· Responsible for ensuring the Conference Programmer 4.0 is up to date (i.e. manual, charges and payments, and monthly reports)
· Responsible for expense and revenue reports created on Microsoft Excel
· Creates billing for each conference
· Maintains accurate and up-to-date listing of personnel, location of personnel, services available, campus and Columbia telephone numbers
· Meets and communicates daily with the Conference Coordinator and Conference Managers
· Audit all conference money operations to include petty cash, purchase orders and other purchase options
· Serve as customer service representative to conference participants
· Assist Residence Life Coordinator, Conference Coordinator and Assistant Director for Conferences and Marketing with other duties as needed.
· Presents a good image of the University of South Carolina by means of a tidy appearance, a pleasant and helpful disposition and a positive attitude and responsive action.
· Approve and edit timesheets for summer conference staff.
· Other duties as assigned
