Summer Student Conference Hall Manager

Job Summary

The Capstone Conference Center at the University of South Carolina is a division of University Housing department and hosts thousands of guests each year through Summer Conferences and Camps and Special Events. The Capstone Conference Center’s primary focus for summer conferences and camps is to provide housing and meeting services to official University departments and their guests within the University of South Carolina system.

 

The focus of this position is to work directly with the summer conferences and camp groups and will be supervised by the Capstone Conference Coordinator at the University of South Carolina. Summer Conferences and Camps at the University of South Carolina currently range in size from 1 to 1,000 people, participants ranging from youth sports camps, academic youth programs, Orientation, college interns and professional adult guests.

 

Applicant Requirements

·         be a rising Senior or Graduate Student for the academic year 2017-2018

·         be a student at the University of South Carolina with a minimal Grade Point Average of 2.5.

·         supervisory experience preferred

·         be available the day after Spring Graduation

·         interest in hospitality field

·         have strong customer service skills

·         strong writing and verbal communication skills

·         proven experience in managing dead-line driven initiatives

·         ability to multitask and strong attention to detail

·         ability to work independently and willingness to take initiative

·         flexible schedules to include evening and weekend work

·         demonstrated proficiency using Word and Excel; PowerPoint and data base usage preferred

·         practicum and internship is allowed. No summer classes should be taken unless taking an online course.


Time Commitment

Spring:           February 5-22           Assist in Conference Assistant Interviews

                        10 two hour Manager training sessions throughout the semester  

                       

Summer:       Approximately 40 hours per week

                        May 9 – 15               Manager Training

         May 16 – May 25     Conference Assistant Training/Building Preparation

                        May 27 – August 9   Conference Season

Spring:           $9.00 per hour

Summer:       ■ Receive financial rewards including $13.50 per hour

Spring Semester

·         Interviews and selects conference assistants (with input from the Conference Coordinator and Assistant Director of Conference and Events)

·         Assists Conference Coordinator in planning staff training

·         Becomes familiar with conference season schedule to include familiarity with building, meeting clients, scheduling staff etc

·         Coordinates with Conference Coordinator for staff retreat

·         Assists in Conference Assistant Interviews

·         Attends all Conference training activities and classes

 

Summer

·         Assist with the planning and coordination of summer conference housing

·         Ten days out from check-in, acts as the liaison between the Capstone Conference Center and the conference/camp coordinators receives information packet from Conference Center. At this point, becomes main contact for camp/conference

·         Live in residence halls during summer months. As a live-in staff member, the Conference Hall Manager will be expected to be available as per scheduled assignments. The Conference Hall Manager will be expected to be accessible in person or by telephone to handle questions, respond to emergency situations and perform other administrative tasks as required.

·         Maintains daily contact with clients to insure that camps/conferences are running smoothly

·         Assists in the coordination of housing, meetings and support services for the individual conference groups.

·         Supervises check-in, registration, and check-out

·         Supervision and evaluation of up to 30 undergraduate Conference Assistants Manages all aspects of staffing for conference housing operations utilizing Conference Assistants including supervising, scheduling, and staff development functions

o   Supervises the daily activities of the conference assistants

o   Responsible for weekly staff meetings and staff development

o   Ensures that conference assistants are informed accordingly and prepared for incoming groups.

o   Develops a weekly schedule for conference assistants to include

ü   Desk coverage

ü   On-call duty

ü   Night on call duty

ü   Bed checks

ü   Cafeteria Check

·         Works with RLC/Housekeeping/Facility Coordinator to ensure satisfactory housekeeping preparation.

·         Assigns unexpected or last minute check-ins.

·         Within five days completes wrap-up package of information and return to Conference Center bills and final evaluations.

·         Anticipates groups needs if not previously requested and coordinates with Conference Center on making changes accordingly.

·         Advises Conference Coordinator of all phases of conference daily activities.

·         Evaluates conferences and conference staff. Indicates problem and concerns.

·         Schedules conference safety orientation on first day of stay for each camp/conference.

·         Assist Residence Life Coordinator, Conference Coordinator and Assistant Director for Conferences and Marketing with other duties as needed.

·         Presents a good image of the University of South Carolina by means of a tidy appearance, a pleasant and helpful disposition and a positive attitude and responsive action.

·         Participate in on-call crisis response rotation throughout the summer

·         Duty rotation

·         Either Conference Hall Manager or Professional staff must be at all check-ins/check-outs

·         Wear appropriate conference attire and nametag when on duty or in cafeterias.

·         Enter and edit timesheets for staff.

·         Other duties as assigned
