Job Description: GITNV Athletics Manager (Part-Time)
Location: Oak Ridge, TN
Reports To: Executive Director
Hourly Rate: $15–$18 per hour, based on experience
Schedule: Approximately 20 hours per week, with flexibility depending on program needs
Position Summary
The Athletics Manager is a part-time position responsible for planning, coordinating, and executing Girls Inc. of TN Valley’s softball program and any future sports initiatives. This role manages all logistics, communication, scheduling, and support for players, families, coaches, and volunteers. The Athletics Manager ensures athletics programming is safe, inclusive, mission-driven, and provides a positive and empowering experience for girls ages 5–14.
This position is based out of the Oak Ridge office and requires consistent, timely, in-person attendance at practices, games, and athletic events. Evening and weekend hours are expected during active sports seasons.
Key Responsibilities
Program Coordination & Management
- Plan, organize, and execute Girls Inc.’s softball program and future athletics initiatives.
- Develop program timelines, team rosters, practice/game schedules, and coordinate field or facility reservations.
- Ensure all sports activities align with Girls Inc.’s mission of inspiring girls to be strong, smart, and bold.
- Oversee distribution and tracking of uniforms, equipment, and supplies.
- Maintain safety protocols and ensure compliance with organizational policies.
- Be physically present and on time for all scheduled practices, games, and athletic sessions.
Communication & Relationship Building
- Serve as the primary point of contact for parents, coaches, and participants.
- Maintain consistent, timely communication regarding schedules, expectations, updates, and changes.
- Build positive relationships with families and create an inclusive, supportive sports environment.
- Provide clear direction and support to coaches to ensure program quality.
Coach Recruitment, Training, & Support
- Recruit volunteer coaches for athletics programs.
- Facilitate coach orientation, training, and dissemination of materials, rules, and expectations.
- Provide ongoing support and serve as an on-site resource during practices and games.
Administrative & Operational Duties
- Manage registrations, rosters, consent forms, and required program documentation.
- Track attendance, participation, and relevant program data.
- Coordinate field/facility usage, equipment inventory, and supply purchasing.
- Maintain accurate program records and provide seasonal summaries as requested.
Event Execution
- Coordinate kickoff events, end-of-season celebrations, and other athletics-related events.
- Support Girls Inc. staff at broader organizational events as needed.
Qualifications
Required
- Must be consistently timely and physically present at all scheduled practices and games.
- Must be able to pass a background check prior to employment.
- Strong organizational skills and ability to manage multiple tasks and timelines.
- Excellent written and verbal communication skills.
- Experience working with children, youth programs, or athletics.
- Ability to work evenings and weekends during active seasons.
- Valid driver’s license and ability to travel locally as needed.
- Demonstrated ability to build positive relationships with families and volunteers.
Preferred
- Experience coaching or managing youth sports.
- Knowledge of youth development best practices.
- Previous nonprofit experience.
Work Environment & Schedule
- Based out of the Girls Inc. of TN Valley Oak Ridge office.
- Approximately 20 hours per week, with flexibility based on active sports seasons.
- Must be able to work outdoors and lift up to 25 lbs.
- Must be able to attend off-site practices and games within the region.
