Aviation Training Institute Adviser - Temp

Position purpose 

Vaughn College is seeking a temporary employee to serve as an academic adviser from approximately mid-January 2026 through May 31, 2026. Extension beyond this period is contingent upon budget availability and organizational needs but not to exceed August 31, 2026. Provide academic advice and support to students in the Aviation Training Institute AOS program; assist in the functioning of the Division of Academic Success. This is a full-time, non-exempt position with an hourly rate of $20.00-$22.00. 

Major Responsibilities/Duties/Functions/Tasks General 

  • Provide proactive advising and coaching to an assigned caseload of students to support retention, persistence, progression, and timely graduation.  
  • Responsible for providing students with basic level information related to College and program policies and procedures and general information related to campus resources.  
  • Serve as the primary contact for assigned cohort(s) and assist with course selection , registration, curriculum plans and career planning. Works with college offices to develop, monitor, and update degree plans, audits and academic records.  
  • Maintains a case roster of students in the student information system(s); follows a detailed inquiry management and communication plan; tracks student engagements; assists with developing and presenting reports and data. Meets established unit benchmarks, customer service standards, key performance indicators, and daily productivity metrics.  
  • Monitor student progress and develop degree completion plans in partnership with individual students.  
  • Provide information regarding curriculum, policies, procedures, opportunities, and guidelines for program. 
  • Ensure accurate verification of transcripts and degree audits to approve registration for FAA regulated prep courses. 
  • Manage enrollment and complete outreach for waitlisted students. 
  • Manage follow-up of make-up sheets and ensure attendance compliance per program requirements. 
  • Evaluate student information and utilize data to facilitate enrollment and registration. Maintain advising records. 
  • Provide prerequisite checks and other records maintenance as required.  
  • Assists with developing and coordinating recruiting, outreach, and engagement programming. This may include open houses, welcome expos, major fairs, college events for prospective students, or workshops for current students.  
  • Explain academic policies, procedures, and guidelines and help students navigate the college and university-level administrative processes.  
  • Achieve established metrics, which may include contact hours, appointments, and associated summary reports, assigned students continuing to the next term.  
  • Participate in ongoing training and professional development programs.  
  • May be required to provide hours in a Zoom-based student service room for consultations and/or managing breakout rooms for this room. 
  • All other duties as assigned.  

Department-wide responsibilities: 

  • Working select evenings during peak periods (e.g., registration, orientation) and weekends during the operation of special programs (e.g., Open House, Accepted Students Day). 
  • Contributing to the priorities of the Division of Academic Success through other special projects and administrative duties.

Education and/or Experience Requirements 

  • Bachelor's degree in counseling, education or other relevant disciplines; degrees in aeronautics, management or engineering will be considered. 

Professional Skills 

  • Knowledge of retention issues and interventions for freshmen and undecided students; 
  • Proficiency with Microsoft Office, especially Microsoft Excel; 
  • Possess strong interpersonal and communication skills; 
  • Have the ability to work well with a diverse group of people; 
  • Ability to understand and effectively communicate the mission of Vaughn College; 
  • Strong attention to detail and excellent time management skills. 

Reasoning Ability 

  • Ability to understand and follow directions 
  • Ability to resolve conflict among students 

Work environment and physical functions 

This position is located in an office environment. Generally, an employee needs to be able to sit, stand, and navigate within the office area. The office equipment either individually used or shared with a department is the responsibility of all employees. 

Preferred: 

  • One year of academic advising experience at the graduate assistant level or greater; 
  • Demonstrated knowledge of higher education practice; 
  • Software knowledge: SONIS (or similar student management systems);  
  • Second language: Mandarin, Spanish or other second language.  

This is a full-time, temporary position that we anticipate lasting from mid-January 2026 through May 31, 2026. The standard working hours are Monday-Friday, 9:00 a.m. - 5:00 p.m. with occasional flexibility. It is a hybrid role that will require being onsite for a minimum of 4 days per week.
