Position Overview:
The Special Events and Marketing Coordinator is a member of the fundraising team and plays a key role in supporting Heart Heroes’ mission by managing and executing key fundraising events and family programs. This position is responsible for coordinating all aspects of events, from planning and logistics to sponsor and vendor management, volunteer coordination, and on-site execution. Assignments require a wide knowledge base, good decision-making abilities, and proven problem-solving skills. Flexible work scheduling may be required. Requires very detail-oriented work, organization skills and the ability to meet deadlines. Provides support directly to the Executive Director.
Responsibilities:
- Marketing
- Develops and implements a strategic communications and public relations plan, aligned with organization goals and messaging, events, fund raising campaigns and program activities; informed by performance metrics and audience insights.
- Leads and amplifies the organization’s social media presence, including strategy, content development, community and influencer management, audience growth, and engagement across platforms such as Facebook, Instagram, LinkedIn, and emerging channels.
- Leverages analytics tools to track digital engagement, reach, and impact, producing regular performance reports and using data to inform content decisions and effectiveness.
- Responsible for specific projects:
- Superhero Heart Run
- Lead coordination and execution of the annual Superhero Heart Run in Omaha and Des Moines
- Solicit and manage sponsor relationships, ensuring fulfillment of benefits
- Manage vendor relationships to support event logistics and activities
- Recruit, train, and coordinate event volunteers
- Oversee venue logistics, including contracts, permits, and setup
- Oversee merchandise sales and tracking during the event
- Manage auction and raffle planning, procurement, and execution
- Milk & Cookies with Santa
- Coordinate and manage all aspects of the holiday program
- Manage vendor relationships, including entertainment, catering, and suppliesRecruit, schedule, and direct volunteers
- Manage venue logistics, setup, and event flow
- Coordinate Christmas gift distribution for families
- Holes FORE Heroes Golf Tournament
- Plan and coordinate all tournament logistics, including registration, course setup, and day-of flow
- Solicit and manage sponsor relationships, including hole sponsors and in-kind donations
- Coordinate with the golf course staff and external vendors
- Manage player registration, pairings, and on-site check-in
- Organize contests, raffles, and auctions connected with the tournament
- Recruit and oversee volunteers for setup, check-in, and on-course support
- Event Support
- Help with events as needed, may require some nights
- Organize Give Back nights with local businesses
- Superhero Heart Run
Experience and Qualifications:
- Bachelor's degree in a relevant field
- Ability to work effectively, and with composure, under pressure
- Ability to balance multiple priorities, to work independently while and to collaborate on projects
- Good organizational skills, detail-oriented self-starter
- A professional and positive demeanor
- Intermediate to advanced skills in Microsoft Office software and Dropbox
- Able to establish priorities and follow through on assigned tasks
Physical Demands:
- Must be able to lift up to 25 pounds
- Requires the ability to move about for extended periods of time
Equipment/Machinery Used:
- General office equipment (computer, telephone, copier, printer)
Job Type: Full-time
Compensation: $52,000 - $57,000
Schedule:
- Monday through Friday
- Nights and weekends as needed
