Patient Concierge & Treatment Coordinator
Overview
We are a premier medical practice specializing in aesthetic surgery, aesthetic medicine, and hormone replacement therapy. Our office also features an on-site, part-time aesthetician. We are seeking a polished, organized, and personable Patient Concierge & Front Office Coordinator who excels in customer service and thrives in a sales-driven, patient-focused environment.
As the first point of contact, you will set the tone for the patient experience—offering exceptional hospitality, guiding patients through their aesthetic journey, and supporting practice operations. The ideal candidate is warm, confident, detail-oriented, and comfortable discussing aesthetic treatments and premium services.
Responsibilities
- Provide a luxury, concierge-level experience for all patients—greeting, check-in/out, and ensuring a welcoming environment.
- Answer and triage phone calls, emails, online inquiries, and new-patient leads with professionalism and urgency.
- Manage appointment scheduling for the surgeon, aesthetic providers, HRT services, and part-time aesthetician.
- Educate patients about procedures, skincare services, and treatment options (training provided).
- Support consult-to-treatment conversion by reviewing pricing, discussing treatment plans, and assisting with financing options.
- Perform effective follow-up with leads and existing patients to maximize bookings and retention.
- Assist in skincare and retail product sales.
- Maintain accurate patient records, forms, and EMR documentation.
- Manage office tasks including supply ordering, inventory, and coordinating daily flow for providers.
- Ensure a clean, organized, and presentable front desk and lobby at all times.
Experience & Qualifications
- Minimum 1–2 years of customer service AND sales experience (medical aesthetics, luxury retail, spa, or hospitality strongly preferred).
- Previous front desk or receptionist experience is valuable; medical office experience is a plus.
- Strong communication skills with a polished, professional presentation.
- Comfortable discussing pricing and guiding patients toward treatment decisions.
- Able to prioritize tasks, multitask effectively, and maintain accuracy in a fast-paced environment.
- Experience with EMR systems or scheduling software preferred.
- Proficiency with Microsoft Office and general office technology.
- Positive, proactive attitude with a passion for aesthetics and wellness.
