Operations Coordinator
OPERATIONS COORDINATOR | 3-A SANITARY STANDARDS, INC.
Washington, DC (Metro Center) | $55,000-$60,000 | Hybrid after training
LOVE SYSTEMS, PRECISION, AND SEEING YOUR WORK MATTER?
We're a small nonprofit (3 people!) that sets food safety standards for the dairy
and food processing industries. When you see the 3-A Symbol on equipment, that's us.
We need someone who gets genuine satisfaction from:
- Making databases pristine and error-free
- Processing 300+ certifications with 100% accuracy
- Creating order and systems where there's chaos
- Being the most reliable person in the room
NOT BORED BY ROUTINE? THIS IS YOUR ROLE.
WHAT YOU'LL DO:
- Manage our certification program (applications, renewals, payments, customer service)
- Become our HubSpot expert as we implement it (Q1 2026—you'll help build it!)
- Process invoices, track revenue, support our annual audit
- Manage conference registration (one event per year)
- Maintain spotless records and generate accurate reports
WHO THRIVES HERE:
✓ You're the person who color-codes notes and maintains perfect filing systems
✓ Learning new software excites you (we'll train you on HubSpot, Swoogo, and advanced Excel)
✓ You catch typos everyone else misses
✓ You finish what you start without reminders
✓ "Good enough" isn't in your vocabulary for data or deadlines
✓ You prefer doing one thing exceptionally well over juggling many things poorly
WHAT YOU NEED:
- 0-2 years experience in ANY role requiring precision (admin, customer service,
retail, lab work, campus jobs—we care about mindset more than job titles)
- Comfort with technology and enthusiasm for learning new systems
- Intermediate Excel skills (we'll teach you pivot tables and VLOOKUP if needed)
- Proven attention to detail (show us in your application responses!)
- Ability to work independently once trained
- Available for 90-day full-time in-office training, then 3 days/week in DC office
BONUS POINTS (but we'll train you!):
- Experience with ANY customer database, CRM, or membership system
- Handled money/payments in previous job (cashier, server, anything!)
- Coursework in business, accounting, or information systems
- Volunteer leadership or event coordination
WHAT MAKES THIS DIFFERENT:
- REAL training: 90 days of hands-on learning with Executive Director
- Small team impact: You'll see results from everything you do
- Mission that matters: Your accuracy protects food safety
- Systems you build: Help implement HubSpot from scratch
- Work-life balance: 9-3 core hours, hybrid after training, reasonable expectations
- Benefits: Health insurance, retirement, professional development, generous PTO
THE REALITY CHECK:
✓ October = intense (annual renewal deadline)
✓ Some work is repetitive by design (that's good thing if you value precision)
✓ You'll wear multiple hats in a 3-person organization
✓ We can't offer fast "career advancement"—this is execution-focused, not strategic
✓ First 90 days are full-time in office (then 3 days/week hybrid)

HOW TO APPLY:

mistake, how did you catch it, and what would have happened if you hadn't noticed?

What was it, how did you learn it, and how do you typically approach learning

satisfying. Which are you and why?
4. Walk us through how you organize your personal life. How do you track tasks,
remember deadlines, and ensure nothing falls through the cracks?
