FT High School Office/Athletics and Activities Assistant, High School
The Manheim Central School District is hiring a FT High School Office/Athletics and Activities Assistant to start with us in the 2025-2026 school year.
This position is responsible for performing a range of customer service and clerical duties in the school office environment. As the first point of contact for students, families, and visitors, the office assistant ensures smooth daily operations by managing routine inquiries, supporting various departments, and maintaining confidentiality. This role may support administrative teams at the high school level and in conjunction with the Director of Athletics and Activities.
Athletics/Activities Essential Functions:
- Provides administrative and clerical support to the Director of Athletics and Activities.
- Assists with scheduling, meeting arrangements, and internal communications for the Athletics department.
- Maintain the Athletic/Activities portions of the website.
- Supports athletic and academics operations by processing forms, event logistics, rosters, communications with coaches and staff, occasional game day support.
- Prepares and maintains rosters, PIAA eligibility lists and students athlete paperwork for all middle school and high school activities and athletic teams. Maintains student athletic and activity participation lists for faculty.
- Assist in coordination and as directed by District Administration for special Athletic/Activity events: Team Photos, Sports Banquet, Signing Day, etc.
- Organizes and maintains database of all PIAA officials, Game Contracts, event workers. Organizes game workers and submit official pay for payment.
- Prepares, contacts, and coordinates media with team rosters, coaching information, and contest information.
- Coordinates and manages athletic social media for all activities and athletic programs at the High School and Middle School levels.
- Schedules police and ambulance and fire police as needed for athletic events.
- Assists with interviewing coaching candidates, volunteer coaching paperwork, payroll report, and hiring game help.
- Prepares and maintains all athletic mailings and various reports for athletic event tickets, deposit revenue, auditor reports and other financial departmental summaries.
- Coordinates Hometown Ticketing for all home games/events.
- Operates and utilizes corresponding electronic athletic/activities programs and technology.
High School Office Essential Functions:
- Provides all aspects of customer service for the school office, including greeting visitors, answering phones, and directing inquiries.
- Provides clerical and administrative support for school administration.
- Maintains accurate and confidential student records and files.
- Answers phone and interacts with students, parents, staff, and visitors in a courteous and professional manner.
- Support school administration in managing school communications.
- Coordinates student lock and locker assignments.
- Sorts and processes all incoming/outgoing mail.
- Coordinates daily transportation changes.
- Assist with maintaining daily attendance records in compliance with district and state guidelines.
- Assist with student attendance improvement plans.
- Cross-trains with other office staff as necessary.
General Essential Functions:
- Maintains positive working relationships with staff, students, families, and external stakeholders, demonstrating professionalism and confidentiality at all times.
- Operates office equipment and utilizes student information systems and computer software to complete assigned tasks.
- Performs other duties as assigned by the supervisors.
MINIMUM REQUIREMENTS:
- High school diploma or equivalent
- Minimum of one year of clerical or office support experience
KNOWLEDGE, SKILLS AND ABILITIES:
- Proficiency with Microsoft Office Suite, Google suite, and the ability to learn new software packages.
- Excellent interpersonal skills with tact and diplomacy.
- Ability to maintain confidentiality.
- Ability to communicate and understand verbal and written communication in English.
- Ability to manage emergency or crisis situations effectively.
- Strong organizational and multitasking abilities.
- Team-oriented, courteous, and service-minded.
- Flexible and capable of working independently with limited supervision.

Hours: 7:30 a.m.-3:30 p.m. with a half-hour unpaid lunch
