Administrative Assistant

We are excited to offer a fantastic opportunity for a highly skilled and motivated Administrative Assistant to join our growing team.

 

Key Responsibilities:

  • Document Management:
    • Prepare, request and organize essential client documents, including:
      • From 2848 (Power of Attorney) via DocuSign.
      • Client transcripts and tax returns.
      • Billing invoices and client financial records.
    • Maintain accurate records in the firm’s database.
  • Portal Management:
    • Send and manage client invitations as related to the firm’s portal.
    • Assist clients with accessing and navigating the portal.
  • Administrative Support:
    • Manage schedules, appointments, and team meetings.
    • Handle correspondence, including emails and phone calls.
  • Team Collaboration:
    • Assist team members with various administrative tasks as needed.
    • Ensure smooth and professional communication and workflow within the firm and with our clients.

 

Qualifications:

  • Previous experience as an administrative assistant or in a similar role.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with DocuSign and client portals is a plus.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast paced environment.
  • Familiarity with the accounting or financial services industries.
