Patient Care Coordinator
POSITION SUMMARY
The Patient Care Coordinator is a key client-facing role responsible for delivering an exceptional patient experience, supporting clinical operations, and driving the growth of the practice through integrated sales and marketing activities. This role manages patient communication, scheduling, insurance verification, and intake processes, while also contributing directly to revenue by educating patients on services, supporting membership conversions, and assisting with social media and community outreach.
You will be the bridge between patient care and operational excellence, ensuring every client receives world-class service from the moment they inquire to the completion of their visit.

EDUCATION
- High School Diploma or GED required
- Associate’s Degree preferred (Healthcare, Business, Marketing, Communications)
- Bachelor’s Degree is a plus
KEY RESPONSIBILITIES
Patient Experience & Coordination
- Greet patients with professionalism and warmth
- Answer calls/messages promptly
- Educate patients on services and care plans
- Schedule appointments and manage Telehealth/ follow-ups
- Ensure all forms, consents, and documentation are completed
- Maintain organized patient records and communication logs
- Verify insurance and assist with claim submissions
- Support patient intake, check-in, and discharge
Sales & Revenue Generation
- Educate on IV drips, boosters, memberships, and wellness services
- Convert first-time clients into returning clients and members
- Promote add-ons, upgrades, and product recommendations
- Track membership conversions and sales metrics
- Handle POS, payments, and invoicing accurately
- Meet or exceed monthly sales KPIs
Marketing & Brand Support
- Create social media content (photos, videos, reels, captions)
- Assist with posting, scheduling, and engagement
- Support local outreach and in-house events
- Uphold brand consistency across all content
- Use AI tools to improve content and workflows
Operations & Administration
- Maintain a clean, organized, high-standard workspace
- Manage inventory of medical and office supplies
- Handle mail, deliveries, and vendor communication
- Participate in daily huddles and team meetings
- Follow HIPAA, privacy, and company procedures
REQUIRED SKILLS & QUALIFICATIONS
- 1–2 years in patient care, medical office, wellness, or med-spa
- Strong communication and customer service skills
- Ability to confidently educate and recommend services
- Familiarity with sales processes in healthcare or wellness
- Social media content creation experience
- EMR/CRM proficiency (Office Ally preferred)
- Strong multitasking, accuracy, and organization
- Understanding of HIPAA and privacy practices
- Comfortable using AI tools
PHYSICAL REQUIREMENTS
- Ability to sit for extended periods
- Occasional standing, bending, lifting light supplies
