Part-Time Outpatient Clinic Admin

Pay: $18.00 - $20.00 per hour

The Part-Time Outpatient Admin has a key role in the daily functioning of the Center for Behavioral Health (CBH). The Part-Time Outpatient Admin demonstrates excellent organization and communication skills and works independently while providing polite and professional assistance to patients as well as clinicians by phone, mail, email, and in-person. The Part-Time Outpatient Admin is expected to have the ability to multi-task while providing a welcoming, positive, inclusive, and helpful presence in the program.

The Part-Time Outpatient Admin reports directly to the Director of Outpatient Services.

FLSA Status: Hourly, Non-Exempt

Schedule: Ideally, Monday through Thursday, 2PM - 6PM

Essential Duties and Responsibilities:

  • Greeting patients and other visitors when they arrive
  • Acting as a liaison between patients and staff
  • Scheduling appointments
  • Ensuring general patient information, insurance information and related paperwork is up to date
  • Collecting co-payment and deductibles at check-in
  • Coordinating with Patient Accounts and/or Program Director to assist with billing and insurance
  • Providing general support to clinicians and medical staff, including faxing, emailing, calling patients, and collaterals
  • Answering phones and triaging call
  • Ensuring the reception area is maintained as per cleaning procedure
  • Maintain a working waitlist

Supervisory / Management: No supervisory responsibilities

Qualifications and Experience:

  • Communicates with supervisor while showing initiative
  • Works independently
  • Works a flexible schedule in coordination with the Program Director
  • Has a desire to create a positive work environment that is inclusive and friendly
  • Is organized, detail oriented and has multi-task capability
  • Responsible, dependable and patient
  • Possesses excellent computer skills with experience in using an electronic health record
  • Experience in working in a mental health/addiction treatment environment is preferred
  • Experience in working with health insurance is preferred
  • Always maintains the highest levels of confidentiality regarding HIPAA & 42 CFR Part II standards.
  • Experience with an EHR/EMR.
  • Must be able to pass pre-employment screenings: Adam Walsh/DCF background check, CORI, and drug screen

Environment and Physical Requirements

  • This position operates in an outpatient clinic setting for the majority of the time
  • Some elements of the job are sedentary, but the employee will be required to stand for periods of time or move throughout the clinic
