Enrollment Lead

Salary: $48,000 - $52,000
Job Summary:
Oak City Academy is seeking a strategic and highly relational Enrollment Lead to oversee the admissions and enrollment process. This role involves developing and implementing the annual enrollment strategy, managing admissions communications, coordinating events, and tracking enrollment data. The Enrollment Lead works closely with the Head of School, Directors, and Enrollment Assistant to follow the admissions strategy set forth for the year. The role upholds OCA’s Core Values, Proven Process, and Mission Statement while promoting excellence in Christian education.

Organization Alignment:
- Full alignment with OCA’s Statement of Faith, Core Values, Proven Process, and Mission Statement.
- Participation in ongoing teacher training and assignments associated with such training.
- Adherence to the guidelines outlined in OCA’s Staff Manual and Parent/Student Handbook.
Admissions and Enrollment:
- Creates annual enrollment strategy in conjunction with Advancement Team
- Cares for prospective families through timely communication and clearly walking them through the enrollment process
- Works with Advancement Director to create an Enrollment Calendar for the year including all Enrollment Events and has the Enrollment Assistant add those dates to the Google Calendar at the start of each year.
- Visions for New Family Tours - writes scripts for reminder emails, etc that the enrollment assistant then helps to manage.
- Works with Marketing Manager to plan and design tour materials and ensure they are ready by the time tours begin.
- Manages all new parent inquiries and communication through the admissions process
- Manages new and current student applications, enrollment, documents and paperwork through Finalsite & TADS (or current admissions software)
- Plan and implement Admissions Interviews/Parent Chats/Dessert & Dialogue
- Plans and implements all enrollment events
- Help make Admissions Decisions with in-depth knowledge of students and their families
- Prepare and maintain statistics regarding enrollment, geographical distribution of students, financial aid, and attrition. Interpret these statistics, when appropriate to the administration, faculty, and board of directors
- Vision for the manner in which new student assessments are carried out and coordinate all admission assessments
- Field admissions questions from prospective parents when enrollment assistant can not answer them
- Coordinate Admissions Board Meetings and all needed materials
- Create and lead the Admissions Board each year alongside the Advancement Director
- Design Admissions rating scale to be implemented in admissions software alongside the Advancement Director
- Assign “readers” to Admissions applicants 3 weeks prior to the Admissions Board meeting
- Takes the lead on recommending students to the Admissions Board with in-depth knowledge of students and their families
- Meets with the Advancement Director to discuss classroom caps for grade levels and discover any problematic issues with admitting students or retaining students in future years
- Meets with Deans to discuss students needing to be retained and relevant information therein
- Creates and distributes Blended Model days surveys to families before assigning classes
- Organize students into future classes via Trello by taking into consideration balanced classrooms alongside Dean recommendations
- Estimate enrollment projections for the following years and submit to the Head of School
- Help vision for and project total revenue for the year based on enrollment projections
- Visions for, plans, and attends admissions events recruiting prospective students
- Works with Head of School and Finance department to assess scholarship program funds and accompanying documents as it pertains to student enrollment
- Coordinates with the appropriate testing coordinators for new students assessments
- Manages the re-enrollment process for all current families, answers relevant questions, ensuring scholarship and opportunity scholarship forms are completed, etc.
- Additional PTO days will be granted to the enrollment manager who needs to work the last few weeks of December/early Jan (due to continual enrollment) if other managerial staff members are given those days off
- Supervises Enrollment Assistant
Professional Development and Training:
- Participate in monthly staff meetings and additional training sessions organized by the administration.
- Attendance at two Parent Community events annually.
- Completion of any online instruction required by the school’s accreditation organization.
- Participation in professional development, including reading up to two books per year and engaging in book discussions.
Work Environment:
- Requires occasional evening/weekend availability for events.
- Involves a mix of office work, event coordination, and student/family interactions
