Talent Acquisition Coordinator (Fixed Term 12 Month Contract)

Job Summary:

The role serves as a key operational and systems support partner within the Talent Acquisition function, ensuring seamless execution of recruitment processes and optimal use of technology platforms. This position acts as a subject matter expert in the applicant tracking system (ATS), facilitates communication between stakeholders, and enhances the candidate experience from application to onboarding. The role also contributes to process improvement initiatives, supports compliance and documentation standards, and coordinates logistics for candidate interviews and agency partnerships. With a strong focus on efficiency, collaboration, and continuous improvement, this position plays a critical role in enabling a high-performing Talent Acquisition team.

 

Responsibilities

Essential Functions & Accountabilities:

Applicant Tracking System (ATS) Support

  • Serve as a subject matter expert in the ATS, ensuring optimal and compliant system usage.
  • Create and manage requisitions, ensuring completeness and proper documentation.
  • Monitor requisition approvals and escalate delays as needed.
  • Represent Talent Acquisition in technical implementation projects, translating business needs to technical teams.

Talent Acquisition Operations & Coordination

  • Support recruiting activities including scheduling interviews, coordinating candidate travel, and processing expense reimbursements.
  • Conduct reference checks and document results in the ATS.
  • Track offer letter acceptances and ensure smooth handoff to HR Coordinators.
  • Greet candidates and provide interview materials upon arrival.
  • Optimize the candidate experience throughout the recruitment lifecycle.
  • Post job openings internally and externally in alignment with guidelines.
  • Coordinate agency intake meetings and maintain agency records (contacts, contracts, etc.).

Stakeholder Communication & Coordination

  • Facilitate information flow between Talent Acquisition, Hiring Managers, and HR Business Partners.
  • Schedule intake meetings with recruiters, hiring managers, and business partners.
  • Circulate internal communications about new job openings.
  • Provide information to external agencies within established guidelines.

Process Improvement & Documentation

  • Actively participate in continuous improvement initiatives and special projects.
  • Collaborate on the development and maintenance of Standard Operating Procedures.
  • Lead third-party agency productivity reviews, including compliance, reporting, and analysis.
  • Analyze applicant source reports and recommend alternative sourcing strategies.

Qualifications

Experience:

  • Minimum of 3 years of experience in Talent Acquisition, HR operations, or recruitment coordination.
  • Demonstrated proficiency with Applicant Tracking Systems (ATS) and HRIS platforms.
  • Experience supporting cross-functional teams and managing recruitment logistics.
  • Strong background in process improvement, documentation, and stakeholder communication.

 

Education:

  • Bachelor’s degree in human resources, Business Administration, or a related field. Equivalent or combination of education and work experience may be considered in lieu of a degree.

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $28.49 and $37.98 per hour and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
