Dental Receptionist
The Dental Receptionist is the first point of contact for our patients and plays a key role in ensuring a smooth, professional, and welcoming experience. This role is open to full-time candidates and students seeking hands-on experience in a dental or healthcare setting. Training is provided.
Responsibilities
Front Desk & Patient Check-In/Check-Out
Greet patients, check them in, verify forms, and maintain a warm, professional environment.
Answer all calls within 2 rings and manage patient inquiries with courtesy.
Collect consent forms and payments at check-in and check-out.
Ensure new-patient forms are complete and entered correctly into Open Dental.
Manage patient flow and keep wait times low.
Conduct new-patient office tours.
Scheduling & Treatment Coordination
Present treatment plans with accurate fees and financing options (Sunbit, CareCredit, Cherry).
Obtain necessary signatures for treatment acceptance.
Attach procedures and fees for next-day appointments.
Fill the schedule through calls, emails, and texts.
Work all scheduling lists in Open Dental: Recall, Treatment Finder, Unscheduled, ASAP.
Call Trello board patients daily for pending authorizations.
Manage Subscribli member tasks.
Coordinate specialist schedules and referrals.
Payments & Insurance
Process patient payments accurately.
Complete weekly insurance tasks including EOBs, denials, and Denti-Cal authorizations.
Prepare daily deposits and complete weekly bank runs.
Maintain daily production sheets.
Scan checks and documents to billing@clovedds.com.
Send invoices and follow up with patients.
Process payment plans (including Invisalign).
Office Operations
Complete all daily housekeeping tasks for the front office.
Upload daily, weekly, and monthly housekeeping logs.
Maintain clean check-in/check-out areas, waiting rooms, floors, doors, and restrooms.
Track lab cases and schedule required appointments.
Maintain office supplies, stamps, and postcard inventory.
Sort daily mail.
Ensure HIPAA and OSHA compliance.
Perform additional duties as assigned.
Leadership & Growth
Help train front office and support staff as needed.
Support smooth patient flow and productive schedules.
Arrive on time and stay until close.
Be open to feedback and continuous improvement.
Refer new patients and potential staff members.
Participate in company events, social work, and marketing activities.

Interest in dentistry or healthcare (ideal for students or pre-dental interns)
Reliability and willingness to learn
Familiarity with Open Dental is a plus, but training is provided
