Position Summary:
The Executive Assistant and Office Manager serves as the central hub for administrative operations and provides comprehensive support to the Head of School. This dual role requires exceptional organizational, communication, and leadership skills to manage both the Head’s priorities and the day-to-day functioning of the school office. The position ensures that administrative processes run smoothly, supports positive relationships across the school community, and models professionalism and discretion at all times.
Responsibilities:
- Serve as the primary point of contact and receptionist for the Head of School, and manages the Head’s calendar, appointments, and correspondence.
- Assist faculty, staff, visitors & callers in a professional and positive manner adhering to all protocols in alignment with Baker’s mission and philosophy
- Greet and screen all in-person visitors to the School and directing them appropriately; notifying school personnel of visitor arrival
- Facilitate internal communications among faculty/staff and families/external callers
- Maintain security awareness and upholding safety protocols by following procedures, monitoring logbook, and issuing visitor badges
- Manage delivery and distribution of USPS mail and packages (FedEx, UPS, etc.)
- Ensure building entrance is monitored and secured by screening visitors daily
- Manage student attendance functions and records in a timely and efficient manner, including early dismissal protocols
- Manage and coordinate substitute support for faculty absences
- Provide general clerical and administrative support including but not limited to; data entry, creating spreadsheets, scheduling appointments, assisting with mailings, fielding general inquiry questions, ordering school supplies and assisting in school projects
- Ensure the main reception area and common areas are maintained and presentable
- Participate in and support school events as needed
- Undertake additional responsibilities as designated by the Leadership Team
Qualifications:
- Associate or undergraduate degree and at least 1-3 years of relevant professional experience preferred
- Proficiency with Microsoft Office, Email, and Google Workspace
- Positive attitude and ability to maintain flexibility with changing needs
- Strong interpersonal skills and ability to engage with diverse school constituencies
- Strong written and verbal communication skills.
- Highly developed sense of integrity, confidentiality, reliability, and accountability
- Ability to accurately interpret procedures with the ability to ensure appropriate implementation
- Ability to solve problems, effectively and efficiently in a service oriented manner
- Ability to articulate & communicate ideas clearly, both orally and in writing
- Excellent organizational skills and the ability to manage multiple projects simultaneously under tight deadlines.

- Ability to work independently and as part of a team

Compensation Package:
Salary range $40,000 - $50,000, with a Competitive Benefits Package
