About the role
We are hiring an Operations & Marketing Coordinator to support daily operations, marketing production, investor relations tasks, and general administrative work across our commercial and residential properties. This role backs up the receptionist on phones, follows up with tenants on insurance, maintains organized digital records, manages Internet Listing Service (ILS) relationships, and produces basic marketing materials. It is an early-career role suited for someone dependable, organized, and professional.

Responsibilities

Front desk and administrative support

  • Provide phone coverage and visitor support when the receptionist is unavailable.
  • Coordinate general office needs and keep simple processes current.
  • Keep digital files organized and easy to find across all properties.
  • Collect, track, and file tenant insurance documents. Follow up to maintain compliance.

Listings and ILS management

  • Manage relationships with ILS platforms and reps.
  • Maintain current and accurate listings across platforms such as LoopNet, CoStar, and Apartments.com.
  • Coordinate listing updates, photos, descriptions, and amenities.
  • Track listing performance and address issues or mismatches.
  • Coordinate contracts, renewals, and billing details with ILS vendors.

Marketing coordination and production

  • Design and order brochures, business cards, flyers, and signage using Canva and Adobe Express.
  • Coordinate photography and maintain current photos for listings and marketing channels.
  • Update online listings and basic website content to keep information accurate and consistent.
  • Manage vendor quotes, orders, proofs, and delivery timelines for marketing materials.

Investor relations and reporting

  • Prepare investor update drafts using templates.
  • Assemble quarterly reporting packets and check numbers and formatting in Word and Excel.
  • Maintain investor contact lists and meeting logs.
  • Handle confidential information with discretion.

Operations and coordination

  • Track tasks in a simple system and report weekly status.
  • Follow up with tenants, vendors, and teammates to close open items.
  • Maintain brand consistency across documents and online materials.
  • Suggest and implement process improvements that make organization and retrieval easier.

Qualifications

  • Bachelor’s degree or 2+ years of administrative or coordination experience.
  • Proficiency in Microsoft Word and Excel. Outlook experience is helpful.
  • Hands-on experience with Canva and Adobe Express.
  • Familiarity with Internet Listing Services and online listing workflows.
  • Strong organization and attention to detail.
  • Clear written and verbal communication.
  • Professional maturity, sound judgment, and reliable follow-through.
  • Able to learn new tools without heavy supervision.
  • Comfortable working with sensitive and confidential information.

Nice to have

  • Experience managing ILS vendor relationships and contracts.
  • Basic photography or photo editing skills.

Compensation & Growth Potential:

  • Salary: $45,000–$65,000, commensurate with experience.
