Administrative Assistant

Our global administrative team is looking for a responsible, proactive, and detail-oriented individual to join our New York office.
Job Responsibilities:
- Oversee our New York office administration and manage all aspects of the daily functions of the office
- Coordinate communications, including responding to emails, answering phone calls, managing and maintaining the office calendar
- Coordinate and greet in office visitors, including external guests and employees
- Manage internal office scheduling, including conference room meeting schedule, room arrangement, and communication setup
- Coordinate and schedule interviews for various teams
- Collaborate with the global admin team for records management, time keeping, and scheduling
- Resolve minor repairs and tech issues within the office
- Set up new workstations for new hires and interns (monitors, keyboards, mouse, office supplies)
- Manage all NY office deliveries and inventory
- Maintaining the upkeep of common office spaces such as the kitchen, reception, and conference rooms
- Liaise with building management for repairs, general maintenance, deliveries, etc
- Assist with other tasks and ad-hoc projects, as necessary
Requirements
- Bachelor’s degree
- 1-2 years of experience in an administrative role is preferred
- Advanced proficiency with Google Suite (especially Gmail, Calendar, GDocs, and GSheets), Microsoft Office (Word, Excel, PP), and Zoom
- Excellent written and oral communication skills
- High level of integrity and discretion in handling confidential information
- Proactive, confident, friendly attitude
- Ability to manage multiple projects simultaneously
- Accomplishes tasks in a timely manner
- Exceptional organizational skills and attention to detail
- Flexibility to take on new and various responsibilities
- Ability to be in person Monday- Friday 9am- 5pm

The annual base pay for this role is expected to be between $55,000 and $65,000. The expected base pay range is based on information at the time this post was generated. Actual compensation for the successful candidate will be determined based on a variety of factors such as skills, qualifications and experience and level of education.
