About the Role
The Billing Specialist – Mental Health Virtual Assistant is the financial heartbeat of MFVA.
You’ll support multiple therapy and psychiatry practices by managing all aspects of insurance billing and revenue cycle operations with accuracy, consistency, and care. From eligibility checks to denials follow-up, you’ll ensure providers are paid accurately and on time while helping clients navigate the complexities of insurance.
This is a high-accountability, detail-driven position that requires hands-on billing experience in a medical or mental health setting.
You must be available between 9:00 AM – 5:00 PM EST (M–F) to provide real-time coordination and support.
Core Responsibilities
Insurance Billing & Claims Management
- Verify client eligibility and benefits prior to appointments
- Scrub, prepare, and submit claims via EHR or clearinghouse
- Resolve claim rejections, denials, and resubmissions efficiently
- Post and reconcile EOBs/ERAs and patient payments
- Monitor aging reports and AR follow-up with accuracy
Credentialing & Enrollment
- Maintain and update CAQH profiles
- Assist with insurance credentialing, revalidations, and provider additions
- Complete EFT/ERA setup and payer enrollments
Financial & Practice Support
- Generate superbills, invoices, and payment reports
- Support payment posting and reconciliation across systems
- Communicate with practices about billing trends, denials, and reimbursements
- Identify opportunities to improve efficiency in billing workflows
Documentation & Compliance
- Maintain meticulous documentation in EHRs (SimplePractice, TherapyNotes, Office Ally, etc.)
- Ensure all processes comply with HIPAA, payer rules, and MFVA standards.
