2026-2027 Fellow- Amica Center for Immigrant Rights- Program Assistant

The Program Assistant will serve as the primary point of contact and support for the Children’s Team
(DUCs). The position combines the duties of an office manager with those of a program support
position, so it requires strong administrative, organizational, and customer service skills. The role will
primarily focus on administrative responsibilities; the legal support required is minimal, with the primary
focus being on administrative tasks such as mailing and filing immigration applications, scheduling
meetings, greeting and interacting with clients, and supporting legal staff with data entry and other
administrative tasks, as needed. While this position will interact with clients based on program needs, it
will not focus on client-facing legal work. This position entails managing multiple deadlines, working
with DUCs attorneys or paralegals, welcoming client visitors, arranging travel as needed, and assisting
with administrative tasks both remotely and face-to-face.

 

Administrative Responsibilities 
• Provide administrative support to the team's daily activities, including picking up
correspondence, being in the office to welcome visitors, and supporting with the preparation
and breakdown of visits.
• Respond to phone calls, emails, and inquiries regarding legal services on behalf of the team.

• Maintain and organize filing systems and documents, and periodic mass archiving of files across
the program.
• Maintain the meeting schedule of DUCS leadership team.
• Coordinate and prepare for virtual and in-person meetings which includes scheduling meetings,
taking notes, reserving conference space, and helping with the creation of materials.
• Provide administrative assistance with data and grant reporting by collecting supporting
documents, reminding staff of deadlines, and ensuring timely submission of expenses and data.
Legal Administrative Support
• Assist with the mailing and filing of immigration applications and case related documents.
• Assist with preparation of court appearances for clients, including confirming attendance, and
scheduling and preparing conference space.
• Assist with client interviews and meetings by welcoming clients, confirming attendance, and
coordinating space.
• Maintain accurate and up-to-date client records in legal databases, support with data cleanup,
and reporting to funders.
• Close cases and provide legal referrals for children who we cannot represent.
