Event Intern

An event intern at Bay Harbor Yacht Club (BHYC) gains hands-on experience in luxury event sales and planning, focusing on exclusive member events and weddings. They develop essential skills in project management, client relations, and time management, while collaborating with various teams and vendors. The internship offers the opportunity to handle real-world challenges, build creativity and problem-solving abilities, and gain valuable exposure to high-end clientele. Additionally, interns benefit from networking opportunities, working closely with seasoned event planners, and the chance to build a portfolio for future career growth in the events industry. This position will run from roughly mid May to mid August, depending on college schedule. You must apply by no later than November 7th.

Job Duties:

  • Assist in planning and executing weddings, fundraisers, corporate functions, and member events
  • Create and manage events in Event Temple and NorthStar systems
  • Produce event documentation, including Function Estimates, Contracts, Banquet Event Orders (BEOs), Floorplans, and Invoices
  • Assist with event setup, including table and chair arrangements, linens, audio-visual setups, and food and beverage coordination
  • Develop design and decor concepts and source materials for major member events, such as the 3rd of July Patriotic Buffet, Father’s Day Brunch, Themed Beach Party, and Labor Day Party
  • Create event stationery (menus, table numbers, place cards, etc.) via Canva
  • Monitor and update event budgets for member events
  • Assist in managing member event registration and check-in, ensuring a seamless experience from sign-up to event day
  • Prepare upcoming event information for weekly BEO meetings and update the Kitchen BEO Board weekly
  • Occasionally serve as part of the Banquet team during events.
  • Communicate with clients and potential clients through phone, email, and site visits
  • Update, track, and create processes and procedures to enhance service quality and organization
  • Maintain accurate and up-to-date event folders and documents
  • Assist in cross-departmental activities and support other teams as needed
  • Perform additional duties as assigned


Education and/or Experience:

  • 3-6 months of previous experience in Events or a related field required
  • High School Diploma or equivalent required; pursuing or holding a college degree preferred


Job Knowledge, Core Competencies, and Expectations:

  • Ability to work efficiently in a fast-paced environment
  • Strong organizational skills with the ability to prioritize tasks
  • Excellent interpersonal skills when interacting with clients, coworkers, and members
  • Familiarity with event management software such as Event Temple and NorthStar[KP5]  preferred but not required
  • Outstanding written and verbal communication skills
  • A positive "can-do" attitude and eagerness to learn
  • Ability to make quick, informed decisions in high-pressure situations
  • Willingness to contribute ideas and take initiative
