Welcome Desk Associate

Position Type: Federal Work Study And Non Work Study

Essential Duties and Responsibilities:

The Welcome Desk Associate is responsible for providing exceptional guest service. This role serves as the first point of contact for guests and visitors, creating a positive and inviting atmosphere. Compensation ranges from $13-14/hour per hour. Welcome Desk Associates may be scheduled for shifts anytime between 8:30 AM and 5:00 PM during Fall & Winter Term. As a Welcome Desk Associate, your primary responsibilities include but are not limited to:

Primary Responsibilities Campus Tours.

Greeting and Welcoming Visitors:

  • Greet visitors and guests in a friendly and courteous manner. 
  • Create a positive first impression by maintaining a professional appearance and demeanor. 
  • Provide visitors assistance and directions as needed.

Phone and Email Communication:

  • Answer incoming phone calls promptly and direct them to the appropriate individuals or departments.

Visitor Registration:

  • Register and sign in visitors for campus visits, issue visitor nametags.
  • Notify staff members of visitor arrivals or appointments. 
  • Composing daily visit bags with t-shirts and folders.

Administrative Support:

  • Perform basic clerical tasks such as photocopying, faxing, and filing. 
  • Assist with data entry. 
  • Appointment Scheduling for Campus Visits.

Mail Handling: 

  • Sort and distribute incoming mail and packages. 

Facilities Management: 

  • Follow opening and closing procedures. 
  • Monitor and maintain the cleanliness and tidiness of the reception area.

 

Requirements

 

Minimum Qualifications:

  • Provide excellent Customer Service with a warm and friendly welcome to all visitors and guests. 
  • Maintain a neat and clean working space. 
  • Maintain a professional appearance, including appropriate attire. 
  • Utilize office equipment, including phones, computers, and software applications, proficiently. 
  • Maintain regular and punctual attendance.

Physical Requirements:

  • Must be able to lift up to 25 lbs.

Preferred Qualifications:

  • Have prior experience in office management or customer service. 
  • Have been on campus for at least 1 semester. 
  • Federal Work-Study preferred.

Anticipated Schedule: 

  • Monday through Friday, any time between 8:30am and 5:00pm
