Visual Arts Program Coordinator
Position Summary
We are seeking a detail-oriented and proactive Visual Arts Program Coordinator to support the daily operations of our visual arts program. This role plays a key part in coordinating exhibitions, liaising with artists and committees, and ensuring smooth administrative processes. Key Responsibilities
- Manage exhibition calls for entry, coordinate schedules, and oversee logistics for visual arts programming
- Handle professional correspondence including emails, memos, and reports
- Liaise with the Visual Arts Committee, managing meeting minutes, calendars, and communications
- Contribute to special projects, research tasks, and team initiatives
- Maintain organized digital and physical filing systems for exhibition records and artist materials
- Assist with expense tracking, invoicing, and basic budget reporting
- Support visiting curators, artists, and volunteers with administrative and logistical needs
- Prepare meeting agendas, take minutes, and follow up on action items
- Assist with the installation and deinstallation of exhibitions throughout the year
Qualifications
- Proven experience in administrative or office support roles
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational, multitasking, and time-management abilities
- Positive attitude and collaborative spirit
- Detail-oriented
- Self-guided and proactive in managing responsibilities
Preferred Attributes
- Experience in nonprofit or arts administration
- Background in visual arts, design, or a related field
- Working knowledge of Adobe Creative Suite or similar design tools
- Strong sense of aesthetics and creative problem-solving
- Familiarity with arts programming and artist networks
- Ability to manage multiple exhibitions throughout the year
