Medical Administrative Assistant
An admin assistant for a doctor's office is responsible for patient-facing tasks, such as scheduling appointments and checking patients in, and administrative duties, such as managing patient records, handling billing and insurance information, and ordering office supplies. The role also involves communicating with patients, insurance companies, and other staff, ensuring a smooth and efficient office environment.
Key responsibilities
- Patient reception and support: Greet patients and visitors, check them in, answer phones, and assist with paperwork. Explain office procedures and address patient questions.
- Scheduling and coordination: Schedule new and follow-up appointments, coordinate lab tests, and manage physician calendars.
- Record keeping: Create, update, and maintain patient medical records and charts, ensuring accuracy and confidentiality (HIPAA compliance).
- Billing and insurance: Process insurance information, verify patient coverage, file claims, and handle billing inquiries and payments.
- Office management: Manage and order medical and office supplies, handle incoming and outgoing mail, and ensure the reception and waiting areas are tidy and organized.
- Communication: Act as a point of contact for patients, insurance companies, and other staff, and compose correspondence on behalf of the practice.
Required skills and qualifications
- Proven work experience as a medical administrative assistant.
- Proficiency with electronic health record (EHR) systems and medical office software.
- Knowledge of medical terminology, billing, and coding.
- Familiarity with insurance verification and processing.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- High school diploma; certification in medical administration is a plus.
