Hours Per Week: 4-6 hours

Join the Alumni and Alumnae Relations team and play a vital role in preparing for one of the most celebrated weekends on campus — Reunion! This is a great opportunity for HWS students interested in event coordination, hospitality, alumni relations, or leadership, allowing you to gain hands-on event planning experience.
As an Alumni Relations Student Assistant, you’ll help behind-the-scenes throughout the academic year and gain valuable experience that will prepare you to take on a leadership role as a Lead Reunion Red Shirt during Reunion Weekend, June 5-7, 2026!
Responsibilities:
During the Academic Year:
- Assist with logistics for Reunion events (scheduling, coordination, materials prep, etc.).
- Help brainstorm and execute engagement strategies for alumni/ae.
- Collaborate with departments across campus to coordinate Reunion needs.
- Organize supplies, signage, and event materials.
- Support email and other outreach communications to volunteers and alumni/ae.
- Set up training sessions for Red Shirts.
Leading Up to and During Reunion Weekend (Lead Reunion Red Shirt):
- Aid in event execution by coordinating with campus partners and Advancement staff to ensure event success.
- Serve as a point of contact for alumni/ae and fellow Red Shirts.
- Serve as liaison to groups staying on campus.
- Serve as a welcoming and informed ambassador for alumni/ae and guests.
- Collaborate with the Reunion team to address on-site needs.
- Guide Red Shirt team members and help troubleshoot event-day logistics.
- Additional Duties: Entertain children, maintain decorations, lead campus tours, and provide transportation.
Qualifications:
- Be in good academic and social standing.
- Show a clear understanding of and appreciation for the HWS mission and core values.
- Demonstrate an enthusiastic and positive attitude with a willingness to learn.
- Valid driver’s license preferred.
- Possess a professional demeanor and present self accordingly.
- Must be comfortable engaging in wide-ranging conversations.
- Ability to work effectively with a diverse team, including students and administrators.
- Demonstrate flexibility, responsibility, and a willingness to assist others during a demanding weekend.
