The New York State Department of General Services, Procurement Services, is recruiting for 1 Procurement Intern. This position is full time at an hourly rate of $21.12 to $24.85. The internship will be in-person at the Empire State Plaza in Albany, NY and will likely run from June – August with the possibly to extend beyond. The set starting time for the position would be between 8am and 9am. The Student Intern can work up to 7.5 hour per day five days per week, but part-time hours would be accepted.
OGS Procurement Services is the state’s central procurement office responsible for managing contracts for goods, services, and technology needed by government entities across New York. We have over 1,500 contracts in our portfolio with over 1,250 vendors. More than 7,600 organizations are registered to use our contracts, but thousands more are eligible. Along with government entities, eligible contract users include school districts and private schools; public and private colleges and universities; public authorities and public benefit corporations; and qualifying charitable and non-profit organizations. We work to harness this power using innovative, strategic methods to give our customers timely, cost-effective ways to buy the goods and services they need.
Student Intern will work within the Office of General Services Procurement Services business unit. The Procurement Services business unit is responsible for establishing and managing centralized statewide contracts available for state government and other authorized users. The Student Assistant will assist Procurement Services Leadership and contract management specialists with enhancing internal and external communications and supporting outreach efforts to vendors and stakeholders, as well as other day-to-day activities.
This role is ideal for students pursuing studies in public administration, supply chain management, communications, marketing, public relations, or related fields with an interest in public sector operations.
Some of the duties may include, but are not limited to, the following:
- Preparation of documentation and other materials to highlight and acknowledge the work of the division.
- Draft and edit communications for vendor outreach, contract updates, and stakeholder engagement (i.e. newsletters, announcements, etc.).
- Assist in developing materials to promote OGS contracts and Procurement Services Initiatives.
- Support the creation and maintenance of content for internal and external platforms.
- Help organize webinars, vendor forums, and training sessions.
- Collaborate with contract management specialists to translate technical information into accessible messaging.
- Conduct research to support strategic communications and branding efforts including benchmarking best practices.
- Maintain organized records of communications, outreach efforts, and materials.
- Provide general support to the leadership team.
- Request forms and documents from vendors seeking a contract, via email/phone.
- Review forms and documents submitted by vendors for accurate completion, and if necessary, seek clarification via email/phone.
- Maintain paper and electronic file records of the forms, documents, and emails.
- Review Excel workbooks submitted by contract users, and copy the information provided into another Excel workbook.
- Review Excel workbooks submitted by vendors, create a summary Excel workbook of vendor responses, and provide the results to contract users.
- Conduct internet research to gather information about vehicle-related products and services
- Other clerical/office assistant duties as assigned, which may include review of vendor sales reports and pricelists.

- Ability to manipulate data and create meaningful reports.
