Administrative Assistant

The Administrative Assistant provides essential support to the Department of Medical Education, including the Department Chair, Department Director, and Registrar. This position plays a key role in ensuring the smooth daily operations of the department by handling clerical tasks, assisting with academic record-keeping, coordinating logistics, and supporting students, faculty, and staff.

 

Key Responsibilities:

  • Receive, sort, and distribute incoming mail and deliveries.
  • Monitor and filter departmental emails, routing inquiries appropriately.
  • Provide administrative support for the Chair, Director, and Registrar as needed.
  • Assist with grade tracking, entry, and related record management.
  • Process medical education verification requests in a timely manner.
  • Maintain organized filing systems, both electronic and physical.
  • Support exam administration, including test proctoring and student accommodations.
  • Schedule meetings, classes, and department events; coordinate room reservations.
  • Assist with meeting preparation, including food setup, agenda preparation, and note-taking.
  • Digitize and maintain student records in compliance with institutional guidelines.
  • Assisting with processing schedule changes
