Program Coordinator - National
Minimum Experience/Education: Bachelor’s degree or 1-2 years of relevant work experience. Data management or analysis experience is a plus.

Your mission: Be the critical link that ensures the integrity of Compass Pro Bono’s systems and data—enabling the work of our volunteers, clients, and front-line staff—and upholding the quality that drives impact across our cities.
This role is part data management guru, part event A/V and tech coordinator, part internal program support partner, and part program operations assistant.
To be successful in this role, you will be utterly obsessed with attention to detail; understand—or be eager to learn—how to maintain and manipulate datasets across multiple tech systems; be A/V and event tech savvy; be comfortable with, and competent at, simultaneously juggling multiple detail-oriented projects and working with multiple internal stakeholders without dropping any balls; be at ease in a fast-paced, business tech-saturated work environment; and be highly attuned to deadlines, calendars, and time management, ensuring nothing slips through the cracks.
This position will be based in Compass Pro Bono’s headquarters office in DC. The Program Coordinator will work 2-3 days per week in-person at the Compass Pro Bono headquarters office, and remotely the rest of the week. The Program Coordinator may also be required to travel occasionally to other Compass Pro Bono locations. The Program Coordinator is expected to provide occasional evening and weekend support for Compass Pro Bono events throughout the year, with notice. The Program Coordinator will report to Compass Pro Bono’s Program Manager, work quite closely with the Program Data Manager and other Program Coordinators, and support all program staff across Compass Pro Bono.
Responsibilities: The Program Coordinator is responsible for helping ensure high-quality delivery of all programs across all Compass Pro Bono regions. The position is part of the national team, which currently has six “clients” -- the Philadelphia and DC Program Directors, the Chicago and Twin Cities Managing Directors, and the On Board and On Demand Directors. Specific responsibilities include:
Ensure all program data is accurate and up-to-date (Salesforce data hygiene)
- Create, assign nonprofits and volunteers to, and manage the accuracy of program campaigns
- Triage program dashboard issues
- Troubleshoot program record issues, e.g.: merge duplicates, delete duplicate applications, update record details as requested
- Perform archival work to find historical data that is not in Salesforce and prepare it to be uploaded to Salesforce for trend and historical analysis
- Clean up old Salesforce records so that they adhere to our current format and can be used for reporting and analysis
- Create and provide program data reports and analyses, as requested
- Create mail merges and other program management materials (e.g. recruitment emails, notification materials, value letters) using program data (e.g. program management sheets, recruitment outreach lists), upon request
Ensure timely distribution, collection, and analysis of program impact surveys (Survey Monkey, Salesforce)
- Automate survey distribution and completion reminders
- Track and report on survey completion rates and missing responses
- Download and format survey responses for staff use in real-time
- Upload survey responses to our master database (Salesforce)
Maintain both the volunteer and nonprofit portals (Magentrix)
- Keep all information in both portals up-to-date, e.g. applications, trainings, Toolkits links, deadlines, etc.
- Assign trainings to volunteers, track and report on training completion, and ensure timely completion reminders are sent
- Troubleshoot volunteer and nonprofit portal access or account issues
Manage technology at program events
- Set up remote access, and provide in-meeting technical support, for virtual and hybrid program events and meetings (e.g. manage sharing, manage mics and speakers, resolve common technical issues within platforms like Zoom in real-time)
- Be a logistics and tech host for General Info sessions, Client Selection Committee meetings, and On Board matching meetings (including some after-hours)
- Ensure Zoom and similar platforms perform flawlessly during our annual multi-city Summit: test and ensure our Zoom set-up works with in-room A/V simultaneously across all physical Summit locations, troubleshoot Zoom and A/V issues on the fly during the Summit, and help ensure smooth execution of this one-day hybrid event.
- Provide backup technology support for other organizational events, as needed
Qualifications:
- Detail-oriented and reliable – able to manage time-sensitive tasks with accuracy and consistency.
- Adaptable and flexible – able to balance multiple responsibilities, from database work to event tech support, especially during peak program times.
- Technologically confident – comfortable with power-using (or learning how to) business tech systems, including Salesforce, Magentrix, SurveyMonkey, Zoom, Google Suite, and Slack.
- Data-savvy with judgment – understands the importance of clean, accurate data and its implications for program outcomes.
- A proactive and resourceful problem-solver – able to identify issues, troubleshoot, and recommend solutions.
- Collaborative and communicative – works well with colleagues, knows when to escalate questions, and keeps others informed.
- Customer-service minded – brings a can-do attitude and attention to the needs of both colleagues and program participants.
Compensation
$45,000 salary + full benefits.
