Client Service Associate
Job Overview
Under general supervision, the Client Service Associate works with lead wealth advisors to deliver exceptional service to high-net worth individuals. This individual must be detail and customer service oriented to provide essential support to clients, advisors and external partners. This includes and is not limited to the following duties: client inquiries, account opening, money movement, document and data management and ad-hoc projects.
Essential Functions and Responsibilities
- Oversee new client onboarding: Account opening, document management, proactive communication and follow up with advisors and clients
- Administrative tasks: money movement, account transfers, registration and address changes, monitor and respond to time sensitive alerts, prepare reports using CRM or performance software
- Data Management: maintain client records on CRM system, review and manage accurate records for assets held away, custodial accounts and required minimum distributions
- Collaboration: Participation in internal meetings (Client Experience & Tax Document Management) and contribute to firmwide initiatives to drive process improvement and implement operations projects. Also assist with marketing campaigns, client segmentation, webinars, and events.
- Communication: actively communicate with clients, internal, external and corporate partners via phone, email and Zoom.
- Compliance: Adhere to firm, corporate and industry policies, procedures and compliance requirements regarding money movement, correspondence, marketing, events and gifting
Qualifications & Competencies
- Excellent verbal, written, presentation and interpersonal skills
- Strong attention to detail while working in a fast-paced, multi-tasking environment
- Ability to work independently to problem solve and meet deadlines while maintaining a high standard for service and accuracy
- Utilize team approach – facilitate and participate in discussions and decision making
- Keeps current on industry rules and regulations
- Operational knowledge of basic office equipment: computers, copier, fax, phone
- Advanced user of Microsoft suite, specifically Excel and Word
- Familiarity with CRM systems and custodian accounting systems preferred. Specifically, Salesforce and Fidelity Wealthscape

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computer, phones, copiers, fax machines, and filing cabinets.
Physical Demands
This is largely a sedentary role and may sit or use PC for long periods of time. Bending, reaching or stooping may be necessary for use of filing cabinets or other office cabinets or office machines.
Hours of Work
Standard hours of work are Monday through Friday during normal day business hours, 8:30am – 5:00pm
Travel
Occasional travel may be required
Required Education and Experience
- 1 to 3 years experience in the Financial Industry and/or client service and operations
