Administrative and Billing Legal Assistant / Paralegal Immediate Opening – Chicago Loop
Two-lawyer law firm in the Chicago Loop seeks a full-time Administrative and Billing Legal Assistant who will also handle select Paralegal matters The firm’s practice focuses on non-profit organizations, intellectual property, and publishing law.
Requirements
- Well organized, detail-oriented, and able to meet deadlines, with the ability to multi-task.
- Able to create, organize, and manage a docket and proactively work to meet project goals.
- Strong problem-solving skills and persistence are essential qualities.
- Excellent written and verbal skills needed to handle client relations and communications.
- Proficiency in Microsoft Word, Outlook and Excel is required.
- Experience with TimeSolv practice management system desired but not required.
- Experience with Lexis legal research helpful but not required.
Areas of Responsibility
- Handle day-to-day tasks of managing a law office: answering phone, processing payments and receipts, entering payment for invoices, scheduling appointments, and other assorted administrative responsibilities.
- Post time entries into legal practice management system.
- Create, edit, and transmit invoices at the beginning of each month.
- Work with bookkeeper to reconcile accounts and assist with other accounting matters.
- Draft legal engagement letters and other client correspondence.
- Prepare applications, filings,and letters for transmission to various federal, state, and local government agencies (we will train).
- Communicate with clients regarding information to complete filings, obtain signatures, and ensure client has trust funds to cover filing fees.
- Follow up and communicate with government agencies on the status of applications and filings.
- Maintain and organize office files.
This is an excellent position for someone with prior office manager experience who desires to gain experience in a law office. Salary is competitive and commensurate with experience. Benefits include health insurance and 401(k).
