To keep our leadership team focused on strategy and impact, we’re looking for a highly capable Executive Assistant / Operations Coordinator to help manage operations, communications, and organizational systems.

This is a critical role for someone who thrives on organization, attention to detail, and enabling leaders to perform at their highest level.

Key Responsibilities

As the Operations Coordinator/Executive Assistant, you will serve as a trusted partner to the executive team. Your responsibilities will include:

  • Systems & CRM Management – Maintain and optimize internal systems and CRM platforms for accuracy, efficiency, and usability.
  • Vendor Management- Manage vendor communication, invoices, and relationships.
  • Executive Email & Calendar Management – Organize and manage executive inboxes, prioritize communications, and schedule meetings with precision.
  • Contract & Document Management – Prepare, track, and oversee agreements using DocuSign and ensure timely execution.
  • Partner & Client Correspondence – Manage communication with partners, investors, and clients with professionalism and clarity.
  • Ghostwriting – Draft high-quality communications, emails, and updates in the voice of executives.
  • Priority & Task Management – Help rank priorities, manage reminders, and oversee impact-based task tracking.
  • Operational Support – Ensure details are executed across projects and initiatives without falling through the cracks.

Qualifications

The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced entrepreneurial environment. We’re looking for:

  • Previous experience as an Executive Assistant, Operations Coordinator, or similar role
  • Strong familiarity with CRM tools
  • Hands-on experience with DocuSign and digital workflow management
  • Excellent written communication and ghostwriting skills
  • Strong organizational and prioritization abilities
  • A resourceful, problem-solving mindset and ability to adapt quickly
  • Discretion when handling sensitive or confidential information
  • Integrity in conduct with a heart to serve.
