Position Summary

We are seeking a warm, friendly, organized, and detail-oriented Treatment Coordinator to join our orthodontic team. The Treatment Coordinator serves as the primary liaison between patients and the practice, guiding patients through their orthodontic journey from initial consultation to the start of treatment. This position plays a vital role in orthodontic patient education, treatment planning, and financial coordination. Prior experience is crucial to success in this role.

Key Responsibilities

Patient Experience & Education

• Welcome new patients and ensure a warm, professional first impression.
  
   
• Explain treatment options, procedures, and expected outcomes to patients and/or guardians.
  
   
• Present orthodontic treatment plans created by the doctor in a clear and confident manner.
  
   
• Answer patient questions and address concerns with empathy and clarity.
  
   

Treatment Coordination

• Schedule consultations and follow-up appointments.
  
   
• Guide patients through the treatment acceptance process.
  
   
• Coordinate with clinical team members to ensure seamless patient flow.
  
   

Financial Coordination

• Present treatment costs and payment options.
  
   
• Discuss insurance benefits and process insurance pre-authorizations as needed.
  
   
• Assist patients in setting up financial arrangements and payment plans.
  
   

Administrative Support

• Maintain accurate and up-to-date patient records.
  
   
• Track case acceptance and follow up with patients who are undecided about treatment.
  
   
• Assist with recall systems and marketing efforts to support new patient growth.
  
   

Qualifications

• Previous experience in a dental or orthodontic office is crucial.
  
   
• Strong interpersonal and communication skills.
  
   
• Excellent organizational skills and attention to detail.
  
   
• Ability to multitask in a fast-paced environment.
  
   
• Proficiency with WaveOrtho is a plus but not necessary.
  
   
• Team player with a positive attitude.
