Legal Administrative Assistant

Duties/Responsibilities:

  • Provide primary support to multiple attorneys with diverse law practices, as well as to support team as needed
  • Maintain an overview of attorney workload, calendars and dockets
  • Transcription from both written and digital dictation
  • Draft, edit, format, proofread, revise, and redline documents in Word, Excel, and PDF formats
  • Communicate with clients, prospective clients, and opposing counsel
  • Run conflicts checks, prepare new client intake forms, and open files
  • Assist with monthly billing processes, including processing time sheets and preparing invoices
  • Provide backup receptionist support on occasion
  • Assists with other related administrative duties as requested

  • Understanding of legal language and principles, research methods, court pleadings and processes, and other related matters

  • Strong analytical skills and problem-solving skills
  • Ability to function well in a high-paced and dynamic environment
  • Advanced user knowledge of Word, Excel, Adobe, Outlook and electronic document management systems
  • Ability to exercise discretion and good judgement, and ability to maintain confidentiality
  • Familiarity with local, state and federal courts’ filing systems and rules a plus
  • Must demonstrate a professional approach to work, a willingness to learn, a positive attitude, and adaptability to the developing needs of a small office

Education and Experience:

  • Associate’s degree in a related field recommended
  • At least two years of related experience preferred

Physical Requirements:

  • Ability to sit for prolonged periods at desk while working on a computer
  • Must be able to lift up to 15 pounds occasionally
