People Team Coordinator

Buckelew Programs is the largest provider of behavioral healthcare services in the North Bay for those who would otherwise not have access. We are hiring a new People Team Coordinator to join our team. In this role, you will play a key part in supporting the employee lifecycle from recruitment through offboarding. You will ensure the smooth and compliant operation of core HR processes by maintaining accurate records, coordinating onboarding activities, and serving as a responsive resource to staff and leadership. As the People Team Coordinator, you will contribute directly to a positive employee experience and a workplace culture rooted in Buckelew’s mission and values. After initial training, this position offers the opportunity to work from home, up to three days per week.

 

WHAT YOU WILL DO:  

 

Recruitment & Onboarding 

 

Conduct reference checks and maintain candidate records. 

Prepare offer letters and required onboarding forms; monitor and track submission of documentation to ensure compliance with program requirements. 

Onboard new employees at multiple locations and ensure the accurate and timely completion of all necessary onboarding documents. 

Provide administrative support for volunteer and intern onboarding, including processing OIG/DMF screenings and setting up files in SharePoint. 

 

Data Management 

 

Enter and maintain employee data in the HRMS; upload documentation and audit records for completeness and accuracy. 

Review new hire, status change, and other employee documents in the HRMS and follow up on incomplete or missing items. 

Maintain organized and confidential electronic and paper HR files; conduct file audits as assigned. 

Coordinate off-site file storage and retrieval as needed. 

 

Compliance & Audits 

 

Generate and analyze monthly compliance reports, including OIG screenings, license and certification verifications, and policy acknowledgments. Support audits and regulatory filings  

Administer and maintain the DMV Pull Notice Program. 

Prepare, process, and complete documentation for State Disability Insurance (SDI) claims, EDD audits, Workers’ Compensation, wage verifications, and Income Withholding Orders (IWOs). 

 

Communications & Employee Experience 

 

Manage the shared HR inbox, responding to or redirecting inquiries promptly and professionally. 

Respond to employment verification requests in a timely manner. 

Prepare and submit Public Service Loan Forgiveness (PSLF) forms for both current and former employees upon request. 

Provide a high level of customer service while working collaboratively with staff and management. 

Support employee recognition events, programs and processes. 

 

WHAT YOU WILL BRING: 

 

Education and Experience:  

 

Associate degree or equivalent coursework in human resources, business administration, or related field. 

Minimum 2 – 4 years of experience in an HR support role; experience in healthcare or nonprofit settings is preferred. 

 

Skills and Abilities:  

 

Self-motivated and able to work independently as well as with a team.  

Proven skills in Word and Excel at an intermediate to advanced level; proficient in PowerPoint and Outlook. Experience working with a HRMS. 

Highly organized and able to effectively prioritize multiple tasks and responsibilities. 

Ability to learn new software programs and systems. 

Excellent written, verbal, and interpersonal skills. 

Working understanding of highly confidential environments and ability to maintain confidentiality. 

Strong analytical and problem-solving skills.  

Possession of a valid CA driver’s license, personal automobile for use on the job, and an insurable DMV record required. 

 

Physical Requirements:  

 

Primarily sedentary work performed in an indoor office environment. 

Frequently operates a computer and other office equipment such as printers and calculators. 

Occasionally required to lift up to 25 pounds and move about the office for file access or equipment use. 

Must be able to communicate effectively in person and by telephone. 

Requires vision to read printed and electronic documents.
