Location: Sammamish & Bellevue, WA (hybrid; ~10–20% in person)
Hours: 20–30 hours/week to start
Reports to: The Orthodontist

About PORTH

PORTH (Personalized Orthodontics) is a modern, digitally driven boutique orthodontic clinic with locations in Sammamish and Bellevue. Our mission is to deliver personalized orthodontic care with precision, innovation, and an outstanding patient experience.

We are building the operating system of our practice — a comprehensive set of systems and SOPs that define how we work, train, and deliver care. These systems will be designed and managed in Notion (knowledge base & SOP hub) and Figma (workflow & process mapping).

Position Summary

We’re looking for a Practice Operations & Systems Developer to partner directly with Dr. Rooz to create, run, and continuously improve the playbooks that drive every aspect of our clinic.

This role blends two key functions:

70% Systems Work: Designing, documenting, and optimizing workflows and SOPs in Notion and Figma.

30% Administrative Work: Supporting training, performance tracking, and other administrative tasks that give you a hands-on understanding of how the practice operates.

Key Responsibilities

Develop & Build Systems (70%)

  • Build and maintain the practice’s SOP library in Notion.
  • Use Figma to design and visualize process workflows.
  • Create clear step-by-step guides, checklists, and training playbooks.
  • Roll out new SOPs, ensure adoption, and gather feedback for improvements.

Administrative Operations (30%)

  • Assist with employee training logistics, maintaining training documentation, and tracking staff progress.
  • Collect and organize performance and feedback data to support team development.
  • Help with scheduling, meeting notes, and team communication.
  • Support onboarding and patient-experience monitoring.
  • Provide general administrative support to connect day-to-day operations with system improvements.

What You'll Learn

  • End-to-end system lifecycle management from conception to optimization
  • Advanced Notion workspace architecture and database design
  • Professional process visualization using Figma
  • Change management and user adoption strategies
  • Data-driven decision making and performance measurement
  • Healthcare operations and compliance considerations

What We Offer

  • Flexible hybrid schedule (20-30 hours per week)
  • Direct mentorship from practice owner on business operations
  • Hands-on experience with full system lifecycle management
  • Opportunity to see immediate impact of your work
  • Portfolio of real-world operational improvements
  • Potential for growth into operations management role
  • Competitive hourly rate commensurate with experience
  • Access to Notion and Figma professional accounts

Who You Are

  • Recent graduate or early-career professional with a passion for organization, writing, and systems-building.
  • Comfortable working in Notion and Figma (or eager to learn quickly).
  • Organized, detail-oriented, and able to see connections across people, processes, and patient experience.
  • Strong communicator with the ability to document and simplify complex workflows.
  • Tech-comfortable (Notion, Figma, Veed, Google Workspace).

Why This Role is Unique

This position offers an exceptional opportunity to gain comprehensive experience in the full lifecycle of business systems—from initial design through implementation to continuous improvement. Unlike typical entry-level roles, you'll have ownership of projects from start to finish and see the direct impact of your work on practice efficiency and team satisfaction. You'll develop a rare combination of technical, analytical, and change management skills that will accelerate your career in operations, consulting, or healthcare management.
