
Legal Assistant
We are a boutique law firm specializing in estate planning and probate. The legal assistant will play a key role in supporting attorneys by handling administrative tasks, client communication and document preparation. This position requires excellent organizational skills, attention to detail and the ability to manage multiple tasks in a fast-paced but friendly environment.
We are seeking a motivated and detail-oriented Legal Assistant to join our practice and support our attorneys in delivering exceptional service.
Position Overview:
As a Legal Assistant, you will provide administrative and legal support to our attorneys and clients in estate planning, probate, and trust matters. This role requires someone who is organized, proactive, and can handle sensitive matters with discretion and professionalism. The ideal candidate will have strong communication skills, be detail oriented and have the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
Assist in drafting and preparing estate planning documents, including wills, trusts, powers of attorney, and healthcare directives.
Prepare probate filings and documents, including petitions for probate, inventories, accountings, and reports.
Manage and organize client files, both physical and electronic, ensuring all documents are properly filed and maintained.
Communicate with clients, beneficiaries, and third parties regarding estate planning and probate matters.
Monitor important deadlines (e.g., court hearings, filing deadlines) and ensure timely completion of tasks.
Assist with the preparation and review of financial documents related to probate estates and trust administration.
Prepare and maintain billing and timekeeping records.
Schedule client meetings, court appearances, and hearings.
Maintain confidentiality of all client and firm-related information.
Qualifications:
1-3 years of experience in estate planning and probate law (or equivalent legal assistant experience).
Familiarity with estate planning documents and probate procedures.
Strong organizational skills with the ability to prioritize tasks and manage deadlines.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal management software.
Attention to detail and ability to work independently as well as part of a team.
Ability to handle sensitive and confidential information with discretion.
Preferred Qualifications:
Paralegal certification or equivalent legal training.
Experience with CLIO.
Knowledge of local probate court rules and procedures.
