Surgery Scheduler
Surgery Scheduler at Colorado Orthopaedics-full time position, no call, no weekends
The Surgical Scheduler is responsible for all functions related to surgical scheduling, pre-
certification and verification of insurance benefits. This position is also responsible for the
coordination of referrals for patient appointments and surgical procedures as required.
Responsibilities include coordinating surgical procedures with the Operating Room, scheduling, and obtaining pre-operative testing, writing, and communicating surgery orders including ICD-10 and CPT
codes, obtaining clearances from requested specialties, guiding patients through the surgical process and collecting necessary documentation for surgeries, scheduling recommendations from consultations including imaging, follow-ups, and lab work. This individual works closely with patients, physicians, and OR Staff to provide accurate, timely, and responsive paperwork. Attention to detail is a must.
Essential Functions – Principal Duties and Requirements:
• Coordinates, schedules surgeries, and creates follow-up appointments as designated by
physicians.
• Interacts with patients, physicians, and other staff both within the clinic and at outside
facilities providing accurate, timely, and responsive information.
• Coordinates, processes, and routes all paperwork as required to meet physician and facility
requirements.
• Completes pre-certification forms including ICD-10 codes, CPT codes, and demographics.
• Ensures efficient telephone communication.
• Documents work processes as required, including electronic and paper records.
• Follows all written protocols and procedures of the clinic.
• Demonstrates courtesy and helpfulness toward patients and their families.
• Establish and maintain effective working relationships with physicians, staff, and
management.
• Books surgeries based on physician volume maintaining appropriate standard turn- around
times.
• Maintaining and updating the physician's surgical calendar
• Contacting equipment representatives or arranging for surgical equipment as needed.
• Notify instrumentation representatives of special requests.
• Working knowledge of obtaining pre-cert and benefit verification for Commercial/PPO Insurance
Plans.
• For Workers’ Compensation Plans: Contact insurance carrier claim adjustor and secure
authorization for surgery. Fax clinical notes and/or test results to claim
adjustor.
Requirements:
Qualifications/Education and/or Experience:
• High School diploma or general education degree (GED) required; or at least one- year medical
office experience, preferably with electronic medical records (EMR)
• Knowledge in Medical Terminology
• Ability to handle highly confidential, sensitive and non-routine information
• Comfortable using email and interacting with Internet applications
• Knowledge of practice management and EHR system
• Ability to perform multiple and diverse tasks simultaneously
• Strong written and verbal communication skills
• Must be flexible and can multi-task.
• Exhibit a high level of quality through attention to detail and monitoring of work.
• Possession of strong organizational skills.
• Excellent verbal and written communication, as well as exceptional interpersonal communication
skills.
• Ability to work independently on assignee tasks as well as to accept directions on given
assignments.
• Deals with confidential information and/or issues using discretion and judgment.
Work Environment s Physical Demands:
• Work is performed in a clinic and office setting. Must be able to sit, stand, and walk for long
periods. The ability to accurately type, write, and use general office
equipment is necessary. Extensive telephone communication is required. A fast-
paced clinic must be able to multitask and maintain a high level of organization. Will also
cross-train as medical assistant to cross-cover in clinic.
