Student Assistant - Vice President's Office of Business & Financial Affairs
The Vice President for Business and Financial Affairs Office (VPBFA) oversees the management and long- range financial planning for the division and campus community. The office is in Lindero Hall and serves the Vice President, executive-level staff, support staff, and the campus community. The Student Assistant provides general office support functions to the VPBFA office. The position is on campus only. (Remote work is not an option at this time.)
Job Responsibilities:
The primary responsibilities of the Student Assistant are to perform a variety of clerical, secretarial, and general office support tasks, assist the executives in the Vice President's Office, be the clerical back up to the Executive Assistant/VPBFA Office Administrator, and support the Shared Services unit as needed.
Duties include but are not limited to the following:
- Answers the BFA primary phone line and be a backup for the Vice President’s phone line and assists callers as appropriate.
- Submits, tracks, and coordinates facilities work order requests and key requests.
- Assists with printing, scanning, copying and faxing; ensures shared printers/copiers are stocked with paper and ink.
- Corresponds with campus departments to request information and documentation.
- Assists with event and meeting logistics.
- Assists with meeting scheduling, including setting up video conferences and in-person meetings.
- Conducts conference room/event set up and clean up.
- Coordinates visitor parking and logistics (welcome swag, itineraries, wayfinding, hand offs, etc.)
- Orders and maintains office supplies and keeps supply rooms neat and well-organized.
- Updates website content.
- Assists with the creation of flyers, newsletters, and other communication.
- Assists with redaction of records.
- Maintains and organizes electronic and physical files.
- Assists with VPBFA Office new employee onboarding.
- Prepares mailings and shipments.
- Keeps the VP electric cart clean and charged.
- Serves as clerical backup to the Vice President’s Executive Assistant/VPBFA Operations Administrator.
- Other duties as assigned.
Required Knowledge/Skills/Abilities:
General office and computer (PC) skills and the ability to drive a golf cart (including successful completion of golf cart safety training) are required. The ability to prioritize projects and convey a professional attitude at all times is essential. Proficient in Microsoft Office, including Word, Excel, and PowerPoint. Experience with One Drive and Google Workspace (including Google Drive, Docs, Sheets and Slides), Zoom, Microsoft Teams, and Adobe Sign preferred. Proficiency with software such as 25 Live, Azzier, Visio, Canva, and Constant Contact are a plus. Candidate should have excellent written and verbal communication skills, defined as a thorough knowledge of English grammar, punctuation, and spelling, including the ability to interact with people at all levels of the organization. Organizational skills, accurate and precise work habits are also required. Candidate must be able to perform duties with minimal supervision, be trustworthy, and reliable in the handling of confidential materials. Candidate must be a current CSUCI student in good standing. A background check (including a criminal records check) may be required before any candidate can be offered a position with the CSU.
