Executive Assistant

Job Description

We’re looking for an Executive Assistant to provide high-level support to our C-suite, while also supporting our Head of Recruiting. This role is ideal for someone who thrives in a fast-paced environment, brings a high level of attention to detail to everything they do, and can manage shifting priorities with discretion and efficiency. Core responsibilities will include calendar management, meeting coordination, and administrative support for company leadership. You’ll also play a supporting role in recruitment: scheduling interviews, sourcing candidates, and assisting the team’s Lead Recruiter with ongoing hiring efforts.

 

Responsibilities

  • Provide high-level administrative support to the C-suite, including complex calendar management, meeting preparation, coordination of travel, as well as organizing executive lunches, dinners, and other leadership engagements.
  • Work under the guidance of the Lead Recruiter to support the end-to-end hiring process, including sourcing candidates, coordinating interviews, and maintaining clear, timely communication throughout the candidate journey.
  • Manage multiple priorities with strong attention to detail and the ability to navigate competing deadlines and shifting priorities.

 

Qualification

  • 5+ years of experience supporting C-level executives or working in boutique hospitality, luxury services, or the music/entertainment industry
  • Prior experience in recruiting is a bonus
  • Bachelor’s degree
  • Highly motivated and ambitious, and thrives in fast-paced environments. Committed to long hours to achieve excellence.
  • Exceptional attention to detail with a commitment to accuracy and thoroughness.
  • Proven ability to take initiative and work independently after initial training.
  • Strong follow-through skills with the ability to effectively execute tasks based on clear instructions.
  • Proactive mindset—identifies potential gaps in support and offers assistance without prompting.
  • Highly responsive and communicative via SMS and email to ensure timely coordination and collaboration.
