Position Overview:
We are seeking a highly organized and detail-oriented Operations & Compliance Manager to oversee the organization’s financial, contractual, and operational systems. This role will ensure compliance with nonprofit standards, manage financial processes, and establish streamlined, digital record-keeping systems. The ideal candidate will be proactive, skilled in financial and organizational management, and passionate about creating efficient systems that support a mission-driven organization.

Key Responsibilities:

Financial Oversight

  • Draft, issue, and track all organizational invoices, ensuring timely payments and accurate records.
  • Manage accounts receivable and corporate collections, following up with vendors, sponsors, and partners as needed.
  • Document all money going in and out, maintaining accurate and transparent financial records.
  • Assist leadership with budget development, grant compliance, and financial reporting.

Sponsor & Contract Management

  • Track and manage sponsor deliverables, ensuring benefits are fulfilled and documented.
  • Oversee project contracts, ensuring obligations, timelines, and compliance requirements are met.
  • Collaborate with event and program teams to ensure sponsor benefits align with organizational goals.

Operational Systems & Compliance

  • Clean, organize, and digitize past financial and organizational records into a centralized, easy-to-access system.
  • Develop standardized processes, checklists, and tools for ongoing nonprofit compliance and operational efficiency.
  • Ensure adherence to nonprofit regulations, financial standards, and internal policies.
  • Prepare compliance and operational reports for leadership and external stakeholders (e.g., auditors, boards, funders).

Qualifications:

  • Bachelor’s degree in business administration, nonprofit management, accounting, or related field (MPA/MBA preferred).
  • Proven experience in financial management, compliance, or nonprofit operations.
  • Strong background in bookkeeping, invoicing, and collections.
  • Knowledge of nonprofit governance, compliance standards, and management best practices.
  • Experience using financial and project management tools (e.g., QuickBooks, Excel, Asana, or similar platforms).
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Strong communication and interpersonal skills for working with sponsors, partners, and internal teams.

Preferred Skills:

  • Experience in sponsor management or donor stewardship.
  • Familiarity with nonprofit financial reporting and grant compliance.
  • Ability to design and implement efficient digital systems for organizational management.
  • Knowledge of nonprofit management tools and frameworks (e.g., board governance practices, donor management systems, CRM tools).
  • Process improvement or systems design experience (Lean, Six Sigma, or equivalent a plus).
