Business Operations Representative

PRIMARY PURPOSE:

The Business Operations Representative is a vital member of our team, serving as the central point of contact for our clients and the engine for our sales fulfillment process. You will be responsible for ensuring a seamless experience for our customers, from order entry to final delivery. The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced environment where they can make a significant impact.

PRIMARY RESPONSIBILITIES:

  • Manage incoming customer orders via email and phone, ensuring 100% accuracy and completeness.
  • Process orders, prepare packing slips, and generate invoices using QuickBooks.
  • Coordinate daily shipments, including preparing shipping labels via carrier websites and assembling packages for same-day dispatch.
  • Serve as the first point of contact for customer support, responding to inquiries, resolving issues, and preparing quotes in a professional and timely manner.
  • Manage inventory of office and shipping supplies.
  • Collaborate with the team to achieve sales targets and exceed customer satisfaction goals.
  • Other duties as assigned.

SCOPE:

  • Work as an integral member of a small team, exhibiting flexibility in responding to each day's changing priorities.
  • Independently manage and prioritize tasks to ensure timely completion
  • Use sound judgment within defined procedures and practices to determine appropriate action.

REQUIREMENTS:

  • A minimum of 1 year of experience in a customer service, online sales, or operations role.
  • Bachelor's degree or prior college-level coursework in a scientific discipline (e.g., immunology, biology) is strongly preferred, as this role requires communicating with clients about technical products.
  • Proficiency with Microsoft Office Suite (Word, Excel) and QuickBooks.
  • Excellent time management and organizational skills with a proven ability to prioritize tasks and meet deadlines.
  • Detail-oriented mindset and the ability to work effectively in a fast-paced environment.
  • Strong verbal and written communication skills.
  • A self-motivated, collaborative team player with the ability to think logically and work independently.
  • Experience with Salesforce or a similar CRM is a plus.
