Advancement Associate, Operations

About the Position

DEPARTMENT: Advancement

REPORTS TO: Director of Advancement Operations

SUPERVISES: N/A

FLSA: Non-exempt

TYPE OF ROLE: Full-time 

COMPENSATION:  $60,000 - 75,000 annually (salaried and based on experience)
BENEFITS: Eligible

Georgetown Day School is seeking an Advancement Associate, Operations to support all staff on the Advancement team in their quest to achieve both annual and long-term fundraising goals. This position will report directly to the Director of Advancement Operations and will be responsible for, among other things, gift processing and acknowledgment, database and systems management, and donor data research and analytics. 


 

Primary Duties and Responsibilities:

Gift Processing and Acknowledgment

Enter, process, and track all gifts, pledges, sponsorships, and corporate and foundation grants

 

Prepare and generate timely acknowledgement letters and tribute cards

 

Prepare pledge reminders on a semiannual basis

 

Track and apply for corporate matching gifts

 

Liaise with the Business Office to ensure all donations are recorded appropriately

 

Collaborate with Advancement Team colleagues to establish and maintain best practices and procedures for gift entry, processing, and acknowledgment

 

Liaise with Business Office staff to ensure all steps of transaction processing are efficient

 

Reconcile gifts weekly 

 

Assist in audit preparation, delivering reports and back-up documentation in a timely manner

Database and Systems Management

Maintain the overall quality and integrity of the constituent database and troubleshoot issues

 

Maintain highly accurate and current constituent and donor records

 

Create and manage ongoing data hygiene processes

 

Create and generate lists, queries, and reports for mailings, e-appeals, Advancement Committee, Committee on Trustees, and all Advancement events.

 

Manage digital campaigns and  automated donor correspondence

Donor Data Research and Analytics

Track overall Advancement team performance and generate reports and queries on donor giving patterns and trends, donor retention, and donor acquisition

 

Perform in-depth research, update/create database records, and create detailed briefings on major gift and comprehensive campaign prospects as requested by the Chief Advancement Officer, Deputy Chief Advancement Officer and Director of Advancement Operations

 

Portfolio Management and Prospect Research - Devise strategies for 5 Advancement portfolios and the Head of School, making data-informed decisions to drive results. Support giving activity by generating prospect research reports, biographies and donor histories.

Secondary Duties and Responsibilities 

As a member of the Advancement team, represent the team at school and community events, including some nights and weekends.

 

Accomplishes all tasks as appropriate. Other duties outside this description may be assigned as necessary. 

Qualifications

Education and Experience

Bachelor’s degree required

 

At least 2 years of experience in nonprofit development and/or data management preferred.

 Skills 

Exceptionally organized, with a strong attention to detail.

 

Intrinsically motivated to solve puzzles and streamline systems.

 

Discreet and professional when handling confidential information.

 

Proficient or eager to build proficiency in Raiser’s Edge, Google Suite, Microsoft Word and Excel, Paperless Post, and Mailchimp.
