Fundraising, Event, Communications Assistant/Intern (SongwritingWith:Soldiers)

At SongwritingWith:Soldiers, we believe in the transformative power of collaborative creativity. We're seeking a well-organized, self-driven Fundraising, Event, Communications Assistant/Intern to join our team in supporting life-changing retreats where veterans and active-duty military members partner with professional songwriters to share their stories through song.

This role is ideal for a curious, organized self-starter who enjoys wearing many hats. You’ll help with database maintenance and mining, researching and developing new support resources, and support day-to-day administrative, fundraising, communications and event tasks.

Key Responsibilities

Fundraising & Donor Relations

  • Assist with maintaining and segmenting our supporter database to cultivate and steward donors.
  • Research prospective donors, partners, and sponsors 
  • Support gift processing and acknowledgments
  • Assist with sponsor outreach and benefits fulfillment for retreats and community events.

Communications & Storytelling

  • Assist with email newsletters and updates that highlight program impact and ways to give.
  • Assist in creating social content that amplifies our mission—mining and organizing our archive of 1,000+ songs, photos and videos.
  • Help build and maintain media lists; draft pitches, talking points, and simple press materials for retreats, song releases, and milestones.
  • Collect quotes and short stories from participants and alumni 

Campaigns & Community Engagement

  • Support seasonal and peer-to-peer campaigns (GivingTuesday, year-end) by building toolkits, and email/social series.
  • Assist with donor and other events—event advancement, media, and post-event follow-up.
  • Coordinate fundraising collateral (one-pagers, sponsor decks, impact snapshots) that connect giving to real outcomes.

Data, Insights & Systems

  • Track key metrics (open/click rates, conversion, donor retention, average gift) and suggest small A/B tests to improve results.
  • Keep our CRM clean—update records, de-duplicate contacts, and tag interactions to support clear donor journeys.
  • Assist in organizing giving and program data 

Grants & Institutional Giving

  • Research foundations and corporate partners aligned with SW:S priorities; organize notes on fit, timelines, and contacts.
  • Assist with LOIs and simple proposals using approved boilerplate; gather impact stats and participant stories for reporting.

Qualifications

  • Current college student (all majors welcome) or recent graduate; interest in music, communications, or nonprofit work is a plus.
  • Strong organization and attention to detail; comfort managing checklists and deadlines.
  • Clear, respectful writing style; comfortable drafting short social posts and emails.
  • Familiarity with Google Workspace (Docs, Sheets, Drive) MS Office; knowledge of Donor Perfect/CRM tools, Canva, Dropbox and Vimeo is a plus.
  • Bonus skills: Basic video tools; spreadsheet basics; social scheduling platforms.
  • Ability to handle sensitive material with discretion and care for veteran stories and privacy.

Location, Hours, and Term

  • Hybrid role: In-office on Mondays and Wednesdays, with an expectation of up to 10 hours per week in person across those days; remaining hours may be completed remotely.
  • Intern - Part-time during the academic term (typically 10–15 hours/week; flexible around classes).
  • Assistant - Part-time 15-20 hours/week with opportunity to grow
  • Start and end dates are flexible, based on the school calendar.

Compensation

$12 per hour (paid internship) or (assistant position) up to $18 per hour commensurate with experience.
