๐Ÿ“ž Family Outreach & Communication

  • Respond promptly to inquiries via phone, email, and in-person visits
  • Provide clear, friendly explanations of service options:ย 
    • Full-time and part-time care
    • Drop-in services
    • After-school and camp programs
  • Schedule and conduct enrollment consultations or tours
  • Follow up with interested families to answer questions and encourage registration

๐Ÿ“ Enrollment & Documentation

  • Assist families in completing registration forms and required documents
  • Collect and verify:ย 
    • Emergency contacts
    • Medical and allergy information
    • Authorized pickup lists
    • Income verification or subsidy paperwork (if applicable)
  • Ensure all forms are complete, signed, and securely stored
  • Maintain digital and physical enrollment records in compliance with licensing standards

๐Ÿ—‚๏ธ System & Roster Management

  • Input new enrollments into childcare management software or spreadsheets
  • Update attendance rosters and classroom lists weekly
  • Track enrollment trends and flag openings or waitlist needs
  • Coordinate with curriculum designer and facilitators to align staffing with enrollment numbers

๐Ÿค Family Support & Retention

  • Welcome new families with personalized onboarding packets
  • Share program calendars, curriculum highlights, and contact info
  • Check in with families after their first week to gather feedback
  • Help resolve scheduling or billing questions with empathy and clarity
  • Promote upcoming events and encourage family participation

๐Ÿ“ฃ Marketing & Outreach Support

  • Collaborate with marketing intern to promote open spots and seasonal programs
  • Distribute flyers and enrollment materials to schools, businesses, and community partners
  • Attend outreach events or tabling opportunities to represent Gabrielโ€™s Place

๐Ÿ“† Weekly & Monthly Duties

  • Prepare weekly enrollment reports for leadership team
  • Monitor compliance deadlines (e.g., immunization records, re-enrollment dates)
  • Suggest improvements to the enrollment process based on family feedback
  • Participate in team meetings and contribute to service planning
