Event Host

Event Host Task List 

🗓️ Pre-Event Preparation

  • Confirm arrival time and dress code
  • Review event schedule and key talking points
  • Familiarize herself with guest list and VIPs
  • Coordinate with setup team to ensure venue layout is correct
  • Test mic/sound system if she’ll be speaking
  • Review emergency contacts and safety protocols

🎤 During the Event

  • Welcome guests warmly and direct them to sign-in or seating
  • Make opening announcements or introductions
  • Keep the event flowing according to schedule (cue speakers, transitions)
  • Engage with attendees—answer questions, offer support
  • Monitor crowd energy and adjust tone or pacing as needed
  • Troubleshoot any minor issues (e.g., seating confusion, tech hiccups)
  • Capture behind-the-scenes photos or videos if appropriate

💬 Guest & Team Communication

  • Liaise with vendors, performers, or speakers as needed
  • Relay updates to you or other team leads
  • guest participation Encourage (raffles, feedback forms, activities)

🧹 Post-Event Wrap-Up

  • Thank guests for attending and assist with exit flow
  • Help with light cleanup or packing materials
  • Debrief with you—share feedback, observations, and guest comments
  • Return borrowed items (e.g., clipboards, signage, tech gear)
